Overview

The Credentialing & Licensing Coordinator serves as the primary departmental resource for provider credentialing, licensing, privileging, onboarding, and recredentialing activities within the Departments of Emergency. Reporting directly to the Manager of Faculty and Staff Affairs, this position is responsible for coordinating all aspects of provider onboarding and ongoing credentialing maintenance to ensure faculty physicians, advanced practice providers (APPs), physician assistants (PAs), fellows, and other clinical providers are fully credentialed, licensed, privileged, and compliant with all institutional and regulatory requirements.

The Coordinator independently manages provider credentialing and recredentialing cycles, monitors licensure and certification expiration dates, follows up on outstanding licensing and registration requirements, and ensures providers maintain uninterrupted eligibility to practice. The position serves as a key point of contact for providers throughout the credentialing lifecycle and proactively identifies and resolves issues that may delay onboarding, reappointment, privileging, or clinical practice. The Coordinator will consistently handle highly sensitive matters and confidential information, with a high level of discretion and judgement.

This role manages a high-volume portfolio of providers practicing across Yale-New Haven Health System, Yale Health Plan, Yale Medicine, and affiliated clinical sites. The incumbent works closely with Yale Medicine Credentialing, Yale-New Haven Hospital Medical Staff Services, Yale Health Plan, affiliated hospital credentialing offices, licensing boards, Faculty Affairs, and departmental leadership to facilitate timely onboarding, recredentialing, privileging, and provider compliance activities.

Essential Duties and Responsibilities

Serves as the primary coordinator for credentialing, licensing, privileging, onboarding, and recredentialing activities for faculty physicians, advanced practice providers, physician assistants, fellows, and other clinical providers. Prepares, reviews, submits, and monitors credentialing and privileging applications for Yale-New Haven Hospital, Yale Medicine, Yale Health Plan, and affiliated hospitals and clinical sites. Proactively monitors provider license expiration dates, credentialing deadlines, hospital reappointments, Yale Health Plan participation requirements, and certification renewals, following up with providers to obtain required documentation. Manages provider recredentialing processes, ensuring all required documentation is completed accurately and submitted within established deadlines. Serves as the departmental liaison between providers and Yale Medicine Credentialing, Medical Staff Services, Yale Health Plan, and affiliated hospitals. Monitors provider onboarding and credentialing milestones and regularly communicates status updates to departmental leadership and providers. Reviews credentialing and onboarding documentation for completeness and accuracy, independently resolving discrepancies and obtaining missing information as needed. Maintains credentialing databases, tracking systems, provider files, and compliance records in accordance with institutional, hospital, accreditation, and regulatory requirements. Provides guidance to incoming and current providers regarding credentialing requirements, licensing processes, onboarding timelines, hospital requirements, Yale Health Plan requirements, and compliance expectations. Maintains strict confidentiality while handling sensitive provider, licensing, credentialing, and personnel information. Serves as a resource to departmental leadership regarding credentialing status, provider readiness, compliance concerns, onboarding timelines, and recredentialing requirements. Performs other duties as assigned.

Required Skills and Abilities
  • 1. Demonstrated experience coordinating credentialing, licensing, onboarding, and recredentialing activities. Proven experience in and Administrative role in an Emergency Department. Proven experience with Workday, MCIC and MyOISS.
  • 2. Demonstrated organizational and time management skills with the ability to independently manage a high-volume workload, prioritize competing deadlines. Demonstrated attention to detail and analytical skills with the ability to review, verify, and maintain accurate provider documentation while ensuring compliance with institutional, hospital, regulatory, and accreditation requirements.
  • 3. Proven written, verbal, and interpersonal communication skills with the ability to build collaborative relationships and effectively communicate with faculty, advanced practice providers, hospital credentialing offices, licensing boards, and departmental leadership.
  • 4. Demonstrated ability to exercise sound judgment, maintain strict confidentiality, and independently identify, troubleshoot, and resolve complex credentialing and licensing issues while providing exceptional customer service.
  • 5. Strong proficiency with Microsoft Office Suite and the ability to quickly learn and effectively utilize credentialing databases, tracking systems, and other institutional applications to monitor provider status, maintain records, and generate reports.
Preferred Education, Experience and Skills
  • 1. Demonstrated experience with licensing, credentialing and malpractice insurance.
  • 2. Knowledge and understanding of faculty affairs process.
  • 3. Proven ability working in an academic or clinical environment working with faculty and staff.
Principal Responsibilities
  • 1. Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems. Serves as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities.
  • 2. Oversees, instructs, and coordinates activities of support staff. Oversees the preparation of materials for grants, contracts and budgets. Monitors expenditures and reconciles financial statements.
  • 3. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work.
  • 4. Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. Assembles and arranges for necessary items. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes reports or portions of reports.
  • 5. Greets visitors. Answers and screens telephone calls. Assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail.
  • 6. Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. Composes substantive correspondence and written material.
  • 7. Coordinates travel arrangements. Schedules and coordinates meetings and appointments. Orders and maintains inventory of supplies. Takes minutes or dictation. Performs additional functions incidental to office activities.
Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
