Job summary

Columbia Threadneedle Investments is seeking a proactive Senior Administrative Assistant to support a dynamic team, manage calendars, coordinate meetings and events, and ensure efficient day-to-day operations in our New York office.

You’ll handle travel, expenses, presentations, and department initiatives with discretion and professionalism, partnering with senior leaders in a fast-paced, client-focused environment.

Qualifications

  • Minimum high school diploma or GED.
  • 1–3+ years of administrative or executive support experience.
  • Proficiency with Microsoft Office and tools like Outlook, Concur, Ariba.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong judgment, discretion, and professionalism with sensitive information.

Responsibilities

  • Proactively manage team calendars, prioritize meetings, and coordinate schedules across internal and external stakeholders.
  • Plan and organize meetings, conferences, and events (logistics, materials, travel, etc.).
  • Review and respond to emails on behalf of leaders and flag items requiring follow-up.
  • Prepare expense reports, invoices, presentations, communications, and travel arrangements.
  • Support department operations including programs like recognition, timekeeping, budgets, and supplies management.
  • Provide back-up support for other administrative assistants as needed.

In this role, you’ll manage complex calendars, coordinate meetings and events, and ensure efficient communication. You’ll also oversee travel, expenses, presentations, and support department initiatives. This position requires strong judgment, discretion, and the ability to prioritize effectively in a fast-paced environment while acting as a trusted partner to leadership.Key ResponsibilitiesProactively manage team’s calendars, prioritize meetings, and coordinate schedules across internal and external stakeholdersPlan and organize meetings, conferences, and events (logistics, materials, travel, etc.)Review and respond to emails on behalf of leaders as appropriate, and flag items requiring follow-upPrepare expense reports, invoices, presentations, communications, and travel arrangementsSupport department operations, including programs like recognition, timekeeping, budgets, and supply managementSupport coordination of team offsites, events, and special initiativesProvide project and program support (researching questions, coordinating efforts, handling ad hoc requests)Mentor or onboard administrative team members; may provide guidance or leadership to othersProvide back-up support for other administrative assistants as neededRequired QualificationsHigh school diploma or GED1–3+ years of administrative or executive support experienceStrong proficiency with Microsoft Office (Word, Excel, PowerPoint) and tools like Outlook, Concur, Ariba, etc.Ability to manage multiple priorities, adapt quickly, and stay organized in a fast-paced environmentStrong judgment and ability to anticipate needs with minimal directionHigh level of discretion and professionalism when handling sensitive informationPreferred QualificationsAssociate’s or Bachelor’s degree (or equivalent experience)Experience supporting senior leaders or working in a corporate environmentIn-Office CollaborationWe are a client-centric, relationship-based business.
