Nexteer Automotive seeks a highly organized Senior Administrative Assistant to provide executive-level administrative support to our Engineering team. You will manage calendars, coordinate travel, assist with purchasing and expenses, and serve as a trusted contact for leaders, employees, and partners.

Qualifications

  • 10+ years of experience providing administrative support to senior leaders or executives.
  • Strong proficiency with Microsoft Office tools and comfort learning internal systems and approval workflows.
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, and details simultaneously.
  • Strong written and verbal communication skills with a professional and customer‑focused approach.
  • Ability to work independently, anticipate needs, solve problems, and maintain confidentiality.

Responsibilities

  • Manage and maintain executive calendars, including scheduling meetings, appointments, and recurring leadership forums.
  • Coordinate domestic and international travel arrangements, including itineraries, lodging, transportation, passport and visa support, and visitor logistics.
  • Organize meeting logistics, including agendas, meeting materials, catering, room setup, minutes, and follow‑up communications.
  • Support purchasing, purchase order tracking, invoice processing, and issue resolution by partnering with internal teams and suppliers.
  • Prepare and process expense reports and provide guidance to employees on expense and travel‑related processes.
  • Maintain office and lab supply coordination, distribution lists, documentation requests, conference room needs, and other administrative processes.
  • Handle confidential information with professionalism, discretion, and sound judgment.
  • Support special events and department activities such as team gatherings, retirements, training sessions, and visitor support.

Position: Senior Administrative Assistant
About the Role:

We are seeking a highly organized, proactive, and professional Senior Administrative Assistant to provide executive-level administrative support within our Engineering organization. In this role, you will help keep day-to-day operations running smoothly by managing calendars, coordinating meetings and travel, supporting purchasing and expense processes, and serving as a trusted point of contact for leaders, employees, and external partners. Education Requirements
  • Bachelor’s degree in Business Administration or a related field preferred; equivalent experience will also be considered.
