Job description

Volunteers of America-Greater New York (VOA-Greater New York) is an anti-poverty organization working to end homelessness in the New York area by 2050. We operate over 60 programs across New York City, Northern New Jersey and Westchester County including emergency, transitional and permanent housing. Our services extend to families experiencing homelessness, survivors of domestic violence, people living with HIV/AIDS, veterans, youth aging out of foster care, adults with behavioral health or substance use needs, and others in need, including a special education preschool program.

We are in search of new talent in the following position…

Position: Senior Accounts Payable Manager – Hybrid Remote Schedule

The Senior Accounts Payable Manager is responsible for the supervision of the Accounts Payable Department, ensuring that the Accounts Payable cycle produces timely and accurate recording of invoices submitted for all programs, limited partnerships and related entities. Ensure that cash disbursements are made according to predetermined and approved dates and payment terms. Maintain internal controls in accordance with generally accepted accounting principles.

Minimum Qualifications:

Bachelor’s degree and three years of relevant accounts payable experience, or satisfactory combination of education and experience. Two years of supervisory experience. Prior experience with Abila accounting software. Candidate must have knowledge of fund accounting. Proficiency in excel spreadsheets required. Must be oriented towards excellent customer service and must have good writing skills.

Senior Accounts Payable Manager Principal Responsibilities:

  1. Manage the day-to-day operations of the Accounts Payable Department, which includes a staff of five people.
  2. Responsible for verification of payment vouchers for proper approval and review of invoices for completeness.
  3. Responsible for weekly payment selection process, within limits of a weekly pre-approved disbursements budget. Prepare weekly commitments reports as requested and quarterly reports as required.
  4. Review and reconcile vendor statements. Responsible for maintaining vendor master files of both parent and partnership databases. Periodically merge duplicate vendors and purge or inactivate discontinued/disallowed vendors.
  5. Conduct month-end and year-end closings of Accounts Payable sub-ledger. Prepare annual Form 1099’s for distribution before deadline of January 31st.
  6. Train Accounts Payable staff.
  7. Handle all program inquiries. Provide guidance and support to service sector staff that are using Varian purchase order system and MIP for A/P processing.
  8. Recommend policies and procedures for effective internal control.
