Job summary

Cochran, Inc. is seeking a Service Coordinator in Seattle to oversee service requests, schedule work, and coordinate with internal teams and external clients for security-related installations.

This role supports a multi-site enterprise with a focus on prompt communication and efficient operations. Ideal candidates will have at least 2 years of relevant experience, strong English skills, and familiarity with Word, spreadsheets, and PM tools.

Qualifications

  • Fluent in speaking, reading, and writing English.
  • Capable of reading and interpreting basic documents and writing standard correspondence.
  • Working knowledge of Microsoft Word, spreadsheet software, and project management tools.

About the Role

As a Service Coordinator for Cochran's Security construction team, you will be responsible for overseeing and managing incoming service requests, ensuring efficient scheduling, communication, and resolution through coordination with internal teams and external clients. The team supports enterprise access control, video surveillance, intercom, and other related security scopes and systems. This role will primarily support a large multi-site enterprise account while also assisting the broader team when needed.

Essential Duties & Responsibilities
  • Coordinate directly with customers to schedule service requests and follow-ups; receive and route incoming calls as needed
  • Create new work orders and manage all associated documentation for service requests
  • Serve as the primary permit contact for all jobs and work orders, ensuring timely submissions and updates
  • Assist with field dispatch and ongoing communication between office and service technicians
  • Support service operations by assisting with dispatch coordination and communication to field personnel as needed
  • Provide assistance with purchase order creation and ongoing maintenance as needed
  • Review work orders and project documentation for accuracy and completeness to ensure proper billing scope and cost alignment; prepare documentation for timely invoicing
  • Maintain organized and complete electronic and physical filing systems for service documentation
  • Perform general administrative tasks and provide operational support to ensure service department efficiency
  • Escalate service issues, customer concerns, or access constraints to appropriate leadership when necessary
  • Carry out additional duties as assigned by Project Managers, the Admin Team, or the Service Team

We are looking for someone with the following competencies:
  • Minimum of 2 years of relevant experience and/or training, or an equivalent combination of education and experience
  • Proficient in reading and interpreting basic documents and writing standard correspondence
  • Fluent in speaking, reading, and writing English
  • Capable of solving practical problems involving a variety of concrete variables in situations with limited standardization
  • Able to apply mathematical concepts such as fractions, percentages, ratios, and proportions in real-world scenarios
  • Working knowledge of Microsoft Word, spreadsheet software, and project management tools
  • No certifications or licenses required
  • Occasionally exposed to mechanical equipment and outdoor weather conditions during job duties
  • Work environment typically has moderate noise, though it may vary
