Job summary

Covestic Inc. is seeking a Security Project Specialist to bridge tactical project coordination and end-to-end management within a matrixed client environment.

You will lead project execution, optimize tracking tools, and manage procurement while ensuring audit-ready documentation and executive-ready insights. You will configure Asana, support LMS administration, and synthesize data into dashboards and quarterly readouts, leveraging AI tools to accelerate security initiatives with multi-vendor

Qualifications

  • 3–5+ years in project coordination, security operations, or similar roles.
  • Proficient in Asana (or Smartsheet/Jira) and Google Workspace.
  • Experience with procurement platforms (Ariba, Salesforce, Ironclad) and enterprise LMS.
  • Familiar with data visualization tools (Looker Studio, Tableau, or Power BI).
  • Experience managing multi-vendor deliverables and drafting executive readouts.
  • Knowledge of governance frameworks (ASIS, ISO) or audit preparation.
  • Bachelor's degree in Business Admin, Security Management, or PM.

Responsibilities

  • Coordinates schedules, deliverables, and performance with vendors and stakeholders.
  • Provides LMS administration support and scales security training architecture.
  • Configures Asana to track timelines and deliverable health and standardizes workflows.
  • Synthesizes data into dashboards, status reports, and QBRs; tracks team OKRs; leverages AI tools.
  • Manages procurement lifecycle: POs, SOWs, and NDAs with key vendors.
  • Maintains audit-ready documentation and formal handovers to security managers.

Job description

Position Overview

The Security Project Specialist bridges the gap between tactical project coordination and end-to-end project management. Sitting at the center of the physical security team, this role leads project execution, optimizes tracking tools, manages procurement processes, and synthesizes operational data into executive insights. Operating effectively within a matrixed client environment, the Specialist aligns cross-functional internal teams and external multi-vendor partners to ensure project velocity, maintain audit-ready documentation, and leverage modern AI tools to optimize security pipelines.

Key Responsibilities
  • Project Ownership & Execution: Apply non-technical PM structure to physical security initiatives. Direct tactical priorities for support staff, maintain team RAID logs (Risks, Assumptions, Issues, Dependencies), and proactively clear cross-functional blockers.
  • Client & Multi-Vendor Management: Serve as a primary operational liaison across complex client environments, coordinating schedules, deliverables, and performance tracking across internal stakeholders and third-party security vendors.
  • LMS Administration & Program Building: Provide foundational LMS (Learning Management System) administrative support—including content upload, user tracking, and course assignment for security awareness and onboarding programs. Opportunity to actively expand, structure, and scale this capability into a comprehensive enterprise security training architecture.
  • Platform & Process Optimization: Configure and optimize Asana to preserve absolute visibility into program timelines and deliverable health. Standardize project templates, onboarding assets, and team-wide workflows aligned with security standards (e.g., ASIS, ISO).
  • Metrics, Reporting & AI: Synthesize operational data into polished status dashboards, Monthly Readouts, and QBR presentations. Track team OKRs and integrate generative AI tools (e.g., Gemini, NotebookLM) to accelerate team velocity.
  • Procurement & Financial Operations: Manage the end-to-end procurement lifecycle for security initiatives—drafting and tracking Purchase Orders (POs), SOWs, and NDAs within Ariba, Salesforce, and Ironclad.
  • Audit Readiness & Handover: Maintain controlled documentation repositories (Google Workspace) for internal/external audits, ensuring formal operational handovers of completed projects to security managers.
Key Qualifications
  • Experience: 3-5+ years in project coordination, security operations, or project specialist roles within matrixed corporate, tech, or client-facing managed service environments.
  • Core Technical & Tool Skills:
  • Advanced proficiency in Asana (or Smartsheet/Jira) and Google Workspace.
  • Hands‑on experience with procurement platforms (Ariba, Salesforce, Ironclad) and enterprise LMS platforms.
  • Familiarity with data visualization tools (Looker Studio, Tableau, or Power BI).
  • Vendor & Project Coordination: Proven track record of managing multi‑vendor deliverables, tracking cross‑functional dependencies, driving meeting action items, and drafting executive readouts.
  • Process & Compliance: Exposure to physical security principles, governance frameworks (ASIS, ISO), or compliance/audit preparation.
  • Certifications (Preferred):
  • CAPM (Certified Associate in Project Management) or active progress toward PMP.
  • Physical security credentials (e.g., ASIS CPP or APP).
  • Education: Bachelor's degree in Business Administration, Security Management, Project Management, or equivalent practical experience.
Skills
  • High School diploma or GED required
  • Minimum of 5 years of experience working in a Security Operations or similar
  • Proficiency with Microsoft Office & Google Suite
  • Knowledge of process and procedures development
  • Strong analytical and critical thinking skills
  • Highly motivated and able to work independently as well as in a team
  • Strong written and verbal communications skills
