Performs secretarial and administrative support services for assigned physicians/faculty/medical service line chiefs, requiring thorough knowledge of medical office procedures and UMMHC practices. Duties involve interfacing with faculty, medical staff, patients, and administrative staff, requiring tact and diplomacy. May coordinate related medical office activities and staff.

Major Responsibilities:
  1. Coordinate medical office activities and staff, including training, scheduling, recommending process improvements, and monitoring performance.
  2. Transcribe medical reports from dictation, produce correspondence, reports, memos, and proofread/edit manuscripts and academic papers.
  3. Attend meetings as recording secretary; distribute agendas and minutes.
  4. Serve as coordinator for residency, fellowship, clerkship, and educational programs.
  5. Compose or select standard response letters for routine inquiries and procedures.
  6. Arrange meetings, travel, and coordinate patient visits and procedures.
  7. Coordinate internal and external meetings.
  8. Greet visitors/patients, ascertain needs, and provide information, fostering quality customer service.
  9. Manage patient-care related phone calls, provide routine information, and refer matters appropriately.
  10. Verify patient referrals, register patients, verify insurance, and escort patients as needed.
  11. Collect co-payments, maintain records, and make daily deposits.
  12. Perform on-site charge entry, batch encounter forms, and process administrative paperwork.
  13. Guide departmental personnel on policies and procedures; provide work guidance to clerical staff.
  14. Maintain confidential files and records, coordinate medical records retrieval.
  15. Ensure inventory of supplies and maintenance of office equipment.
  16. Participate in performance improvement initiatives and ensure compliance with health and safety regulations.
Position Qualifications:

License/Certification/Education:

  • High School diploma
  • 6-12 months specialized medical secretarial/medical office training

Experience/Skills:

  • 2-3 years of medical secretarial/administrative support experience

Software used: Word processing, spreadsheets, presentation graphics, database, Medi-Tech, IDX, Lynx, etc.

Equivalent education and experience may be substituted where appropriate.

Physical Demands and Environment:

Work is sedentary, indoors in a normal office environment.
