Position Summary: We have an exciting opportunity to join our team as a Faculty Group Practice Secretary I - Intake/Scheduler (35 hours/week). In this role, you will perform front-end administrative tasks to support practice operations, including greeting patients, answering calls, scheduling appointments, and other administrative duties as needed.
Job Responsibilities:
- Greet patients professionally in person and on the phone.
- Answer patient questions or direct them to the appropriate contact.
- Optimize provider schedules and patient access by maintaining efficient scheduling templates.
- Promote a positive patient experience during all interactions.
- Update and retrieve patient records to ensure availability of treatment information.
- Verify insurance information and gather details for scheduling and billing.
- Maintain office inventory and equipment, anticipating supply needs.
- Perform other duties as needed.
Administrative Responsibilities:
- Handle patient intake functions, including registration, updating information, and collecting copayments.
- Monitor appointment reports for issues and follow-up needs.
- Gather demographic and insurance information from patients or representatives.
- Verify insurance eligibility electronically and collect referral documents if applicable.
- Collect and explain patient policies and obtain signatures where necessary.
- Enroll patients over age 5 in Patient Secure, including capturing palm scans and photos.
- Promote and assist with Check Mate kiosks usage.
- Scan documents into Epic following guidelines, ensuring correct placement and document type.
- Report issues with kiosk or device malfunctions.
- Monitor waiting areas and communicate wait times.
- Perform check-out functions, including providing visit summaries, scheduling follow-ups, and collecting payments.
- Answer calls professionally, schedule appointments, and verify patient information on subsequent visits.
- Address patient questions, refer complex issues to senior staff, and ensure patient understanding.
- Handle medical record releases in accordance with HIPAA and ROI guidelines, documenting disclosures in Epic.
- Maintain patient privacy and confidentiality.
- Coordinate pre-authorizations and certifications with relevant staff.
- Manage front-end work queues and in-basket messages promptly.
- Stay current with policies, protocols, and practice updates.
- Maintain cleanliness and restock supplies in patient and staff areas.
- Uphold the organization’s service standards and provide necessary materials.
- Foster professional relationships with staff and colleagues.
- Prioritize tasks effectively amidst changing workloads and deadlines.
- Communicate clearly and professionally with all organization levels.
- Perform other duties as assigned by providers and supervisors.

Minimum Qualifications:
- High School Diploma or equivalent.
- Excellent organizational, interpersonal, verbal, and written communication skills.
- Basic knowledge of word processing, spreadsheets, database, and internet applications.
- Accurate keyboarding skills.
- Ability to handle multiple tasks efficiently and work well in a team focused on positive patient care.
Preferred Qualifications:
- Intermediate knowledge of scheduling and appointment software.
- Bilingual abilities are a plus.
