POSITION TITLE: Secretary 3 - Main Office/Receptionist

Position Information

  • Reports to: Building Principal
  • Salary Schedule: 32C - $20.00 per hour Step 1 of the 24-25 Salary Schedule, $20.45 Step 1 of the 25-26 Salary Schedule
  • Hours to Work: 8.0 hours per day
  • Work Schedule/FLSA Status: Full-time, 10 month / Non-Exempt

Position Purpose: Performs a wide variety of duties, some of a confidential nature. Performs general secretarial duties including answering phones, basic computer functions, typing, filing, copying, distributing mail, proofreading, etc. Provides monitoring of students as needed.

Essential Performance Responsibilities

  1. Serves as building receptionist.
  2. Greets and assists visitors positively and professionally.
  3. Responds to customer service needs over the phone promptly.
  4. Maintains student demographic information in the District software system.
  5. Monitors and uses security radio as needed.
  6. Assists internal callers with classroom emergencies.
  7. Extracts students from class for meetings with administrators.
  8. Authorizes students to return to class after visits to the main office.
  9. Uses and troubleshoots copy, printer, and fax machines; reports issues.
  10. Assists staff with office machinery.
  11. Creates reports and records data.
  12. Uses mail merge for labels, certificates, mailings, and files.
  13. Sorts and distributes mail and packages.
  14. Creates programs, rosters, certificates, and other documents.
  15. Enters student fines into District software.
  16. Organizes and distributes student activity cards.
  17. Documents lost and found items.
  18. Assists with student cumulative folders.
  19. Uses intra-school communication systems.
  20. Back-up for creating school bulletin and data/registrar functions.
  21. Follows oral and written directions accurately.

Additional Duties: Performs other tasks as assigned by the principal or administrative staff.

Equipment: Ability to use basic office equipment such as computers, copiers, scanners, and fax machines, following OPS guidelines.

Travel: Limited travel may be required.

Physical and Mental Demands, Work Hazards:

  • Works in standard office and school environments.
  • Occasional overtime may be required.
  • Requires organization, time management, communication, and interpersonal skills.
  • Ability to read and interpret written and visual information.
  • Ability to stand/walk frequently, bend, kneel, stoop, and maintain balance.
  • Ability to work outdoors during student activities.

Interrelations:

  • Contact with district personnel, customers, and vendors.
  • Works under supervision of department supervisor.
  • Must handle all situations with tact and diplomacy, interacting professionally with internal and external customers.

Employee Punctuality and Appearance:

  • Expected to perform all duties during scheduled hours unless approved leave is obtained.
  • Deviations require prior approval.
  • Dress appropriately to reflect a positive image of Omaha Public Schools.

Knowledge, Skills, and Abilities:

  • High School Diploma or GED required.
  • Previous office experience preferred.
  • Experience in a public school setting preferred.
  • Proficient in PC computer use.
  • Proficient in English; Spanish skills preferred.
  • Knowledge of District software preferred.
  • Ability to work with students and parents patiently.
  • Ability to work independently, organized, and professional.
  • Excellent communication and confidentiality skills.
  • Understanding of OPS’s mission and goals.
