The School Secretary/Attendance Clerk provides clerical, organizational, and administrative support to the school principal, staff, students, and parents while also maintaining accurate student attendance records. This position is responsible for daily office operations, ensuring compliance with Mississippi Department of Education (MDE) attendance policies, and providing quality customer service to the school community.
High school diploma or GED required; Associate’s degree preferred.
Minimum of two (2) years clerical or secretarial experience; school office experience preferred.
Knowledge of MDE attendance regulations preferred.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and district data systems (e.g., MSIS, SAMS, Power School).
Strong organizational and communication skills.
Ability to manage multiple tasks and meet deadlines.
Professional demeanor and customer service skills when interacting with staff, students, and parents.
Ability to maintain confidentiality of student and staff records.
Serve as receptionist, greeting visitors, answering phones, and directing inquiries.
Maintain student attendance records in accordance with MDE guidelines and district policies.
Process daily attendance, tardies, early check-outs, and attendance corrections.
Communicate with parents regarding absences, truancy, and attendance issues.
Prepare attendance reports for administrators, teachers, and district officials.
Assist with enrollment, withdrawals, and student record transfers.
Provide clerical support for the principal and staff, including correspondence, reports, and filing.
Maintain student and staff records in compliance with FERPA.
Assist with scheduling meetings, conferences, and school events.
Handle office communications, including mail, email, and announcements.
Assist with substitute teacher coverage and maintain staff attendance records as assigned.
Support preparation of state/federal reports and accreditation documentation.
Maintain confidentiality of student and staff information.
Perform other duties as assigned by the Principal.
