Qualifications

Responsibilities

  • Assist with pre- and post-award grants process across SSC portfolios and help ensure distribution of the division’s yearly grants budget.
  • Monitor and evaluate active organizations within SSC portfolios; track milestones and progress.
  • Collaborate with program manager to ensure timely completion of pre-award documents.
  • Serve as a primary contact for awardees during pre-award and grant periods.
  • Represent SSC and the Simons Foundation at external events and annual SSC Summit.
  • Develop materials for internal and external events, including SSC awardee summit.
  • Schedule regular check-ins with awardees between reports and site visits.
  • Support SSC external communications strategy and create PowerPoint decks for events.
  • Study and engage with the field of science engagement.

Job description

Science, Society & Culture (SSC) seeks a program coordinator to assist in the review and development of programs for its portfolio of science outreach grants, as well as to help execute the division’s external communications strategy. The ideal candidate will have some experience in creative science outreach, engagement and/or media. The program coordinator will report to the program director of Science, Society & Culture.

Program Management Support – 75%

The program coordinator’s primary responsibilities will be to support the program director and program manager for grantmaking on day-to-day pre- and post-award processes. These include coordinating the timely completion of grantee budget documents and related materials, conducting due diligence, communicating with awardees throughout the duration of their grant, and coordinating with the internal grants team at the foundation.

External Communications Support – 25%

The program coordinator will also assist in external communications for the SSC division, including the timely coordination of website and social content (liaising with the foundation communications team), preparing PowerPoint presentations as needed, assisting with storytelling for our National Initiatives work, and at times writing editorial content for various SSC initiatives. This position will not involve work on any of the SSC division’s media initiatives.

The ideal candidate will have a demonstrated passion for, and experience in, public engagement with science. They will have solid interpersonal communication skills, strong attention to detail and a knack for communicating complex ideas in a clear manner.

This position is a full-time position based on-site at the Simons Foundation’s New York City offices.

Role and responsibilities:
  • Assist with pre- and post-award grants process across the Science, Society & Culture division’s portfolios, helping ensure the full distribution of the division’s yearly grants budget
  • Assist with the monitoring and evaluation of active organizations within Science, Society & Culture portfolios. This includes assisting in tracking and reporting on active awardees’ milestones and progress.
  • Work with the program manager to ensure timely completion of pre-award documents
  • Act as a primary point of contact for awardees throughout pre-award and grant periods
  • Act as an ambassador for SSC and the Simons Foundation at external events, including the annual SSC Summit, conferences, social events, and more
  • Assist with the development of materials for internal and external events, including the annual SSC awardee summit
  • Schedule regular check-ins with awardees between progress reports and site visits.
  • Assist in the execution of the SSC external communications strategy, including coordinating website content and various storytelling initiatives and contributing to the development of PowerPoint decks for internal and external events
  • Study and engage with the field of science engagement
  • Perform any other duties or tasks as assigned or required
MINIMUM QUALIFICATIONS
Education
  • Bachelor’s degree
Experience
  • 2-3 years combined relevant experience
  • Experience with grant making processes
Required skills and experience:
  • Ability to prioritize and adapt to the demands of projects, while meeting deadlines across all active projects andremaining flexible, calm and focused
  • Enthusiasm about the initiative’s mission, with a demonstrated passion for the importance of science to society and creative science outreach
  • Strong communication and organizational skills, with a specific focus on attention to detail; high emotional intelligence; ability to speak comfortably and clearly with awardees
  • Strong PowerPoint skills and design instincts
  • Experience with project management software (specifically Airtable) is a plus
  • Experience with Adobe Creative Suite — specifically Photoshop and InDesign — is a plus

Compensation & Benefits
  • The full-time annual compensation range for this position is $65,000-$70,000 depending on experience.
