Job Description
This is a combined position responsible for all clerical duties at the school, managing everyday operations including finances and data management. The person should be knowledgeable of accounting procedures and guidelines, proficient in scheduling, maintaining grades, and registering students using Infinite Campus. The position also oversees day‑to‑day operations such as maintaining the school calendar and ensuring coverage for the front office.
Qualification Requirements
- Combination of education and experience equivalent to graduation from a two‑year or community college with coursework in finance, business, or accounting.
- Required PC skills.
- Experience with Microsoft Word and Excel.

General Definition of Treasurer Work
Performs intermediate‑skilled administrative support work maintaining financial records, preparing fiscal reports, receiving and processing incoming funds, processing purchase requisitions, keeping accurate budget records, verifying payroll, and other related work as assigned. Work is performed under limited supervision of the Principal.

Essential Functions (Treasurer)
- Prepare and maintain financial systems and records.
- Receive, account for, and deposit school funds.
- Prepare invoices, checks, charges, discounts and approvals.
- Maintain internal audit policies and procedures.
- Prepare purchase orders and checks for school purchases.
- Post receipts and disbursements to school fund accounts.
- Prepare daily reports of funds received, deposited, and disbursed.
- Reconcile bank statements.
- Prepare a variety of accounting, fiscal, statistical and related reports.
- Assist with outside audits.
- Maintain financial records for instructional supply funds for all departments.
- Purchase supplies and maintain inventory.
- Verify purchasing coding.
- Submit payroll information.
- Assist teachers on personnel issues (insurance, leave, etc.).
- Assist administrators with procurement and substitute assignment.
- Perform general clerical work as required.

General Definition of Data Manager Work
Performs intermediate technical work maintaining an information resource, ensuring data consistency and integrity, collecting and reporting data, designing and creating reports, participating in testing and implementation, and related work as assigned under the general direction of the Director of Accountability Services.
Essential Functions (Data Manager)
- Maintain and utilize the student information system, including enrollment, demographics, immunizations, and contacts.
- Maintain student test scores and attendance records.
- Prepare attendance reports and reconcile manual and computer reports.
- Prepare correspondence to parents regarding excessive absences.
- Generate and distribute student demographic, scheduling, and grading information.
- Maintain records of suspensions and withdrawals, and produce statistical reports.
- Access the internet to download/upload student information.
- Facilitate transfers of student information between schools.
- Provide training to staff on the student information system.
- Generate Excel spreadsheets for administration and teachers.
- Coordinate user security within the system.
- Attend conferences and classes to develop expertise.
- Enter school schedule information into the system.
- Type letters, memos, reports, and bulletins.
- Administer medication and first aid in absence of the school nurse.
- Assist in general office duties as time permits.
- Perform other related tasks as required.
Knowledge, Skills and Abilities (Data Manager)
- General knowledge of computers and office equipment.
- Knowledge of attendance regulations and data management policies.
- Thorough knowledge of district policies, processes and procedures.
- Knowledge of specific software types and reports used in a school system.
- Ability to create and maintain reports related to student activities.
- Operate standard office equipment accurately.
- Work with high accuracy.
- Troubleshoot and correct minor software problems.
- Exercise independent judgment in correcting data errors.
- Communicate effectively with school personnel, parents, students, and central office staff while complying with confidentiality requirements.
- Minimum typing speed 45 wpm.
- Use Microsoft Office Word, Excel and Access.
- Generate business correspondence with strong vocabulary, grammar, and spelling.
- Follow oral and written instructions with minimal supervision.
- Learn specialized software as needed.
- Develop and maintain user manuals for supported software systems.
- Generate relevant reports and build strong relationships with staff, students, vendors and public.
Physical Requirements
