Job summary

Residing Hope in Enterprise, FL seeks an organized office administrator to handle a busy front desk and clerical duties. This full-time, hourly role runs Monday through Friday, 9:00 am–6:00 pm, in-office at Enterprise, FL.

You will greet guests, answer calls, manage appointments, coordinate with finance, and provide clerical support across departments. The ideal candidate has an AA degree (or equivalent), plus 2 years of office experience.

Qualifications

  • AA Degree and two years' of experience, preferred.
  • High school degree; experience in an office management position.
  • Additional certification in Office Management is a plus

Responsibilities

  • Answer telephone, screen and direct calls.
  • Take and relay messages.
  • Greet visitors entering the office.
  • Direct visitors to the correct destination.
  • Coordinate with finance and maintain appointment diary.
  • Provide general administrative and clerical support.
  • Maintain office security and stock front office supplies.
  • Order front office materials and keep inventory.

This is a full-time, hourly position working Monday through Friday between the hours of 9:00 am to 6:00 pm. The position is located in Enterprise, FL.

What You Need

Essential Duties and Responsibilities
  • Answer telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering organization
  • Direct persons to correct destination
  • Give Tours
  • Deal with queries from the public and customers
  • Collect and register payments
  • Coordinate with finance
  • Ensure knowledge of staff movements in and out of organization
  • Provide general administrative and clerical support
  • Prepare correspondence and documents
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Maintain appointment diary either manually or electronically
  • Organize conference and meeting room bookings
  • Co-ordinate meetings and organize catering
  • Monitor and maintain office equipment
  • Control inventory relevant to reception area
  • Tidy and maintain the reception area
  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and area
  • Answer, screen and forward incoming phone calls
  • Ensure reception area is stocked with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order front office supplies and keep inventory of stock
  • Update calendars and schedule meetings
  • Keep updated records of office expenses and costs
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  • Treat staff with respect and in a professional way
  • Maintain student records
  • Administer medications in accordance of ECED policies and procedures
  • Supervise other office staff
  • Treat children and family members with dignity, compassion and respect. Always remain objective.
