We are seeking a School Operations Coordinator who will support the School Operations Administrator by maintaining complete, confidential, accurate financial, operational, and HR records at the school level.

In this role you will handle financial documentation, deposits, payroll support, HR paperwork, data entry in SIS and ADP, time and attendance, and

Qualifications

  • Associates or higher in Accounting, Finance, or related field.
  • At least 2+ years professional experience; education sector preferred.
  • Maintains confidentiality and handles sensitive records.
  • Experience with payroll, SIS/HR systems is a plus.
  • Proficient with MS Word, Excel and QuickBooks.
  • Ability to work independently within policy guidelines.

Responsibilities

  • Maintain confidential financial records and assist monthly statements.
  • Process bank deposits and submit receipts and disbursements timely.
  • Monitor school checking accounts and reconcile balances.
  • Support HR paperwork, open enrollment, and benefits setups.
  • Enter new hire data into SIS and Time & Attendance systems.
  • Assist payroll with timekeeping and payroll registrations.
  • Coordinate with HR on FMLA, disability paperwork, and record accuracy.
  • Handle equipment distribution to proper department.

As a School Operations Coordinator, you will be responsible for helping the School Operations Administrator keep complete, confidential, accurate, and systematic set of records for all the financial, operational, and HR functions at the school level.

How You Will Impact Education
  • Files and maintains financial records and help the School Operations Administrator prepare monthly financial statements.
  • Makes bank deposits in accordance with company policy.
  • Submits documentation for all receipts and disbursements made at the school level on a timely basis.
  • Monitors balances of school-based checking accounts.
  • Follows up on outstanding checks of school-based checking accounts. Assist payroll in resolving outstanding payroll checks.
  • Follows up and collects returned checks received on a timely basis.
  • Reviews expenditure invoices with school Principal and School Operations Administrator with his/her approval.
  • Assist in all personnel in completing Human Resources ("HR") paperwork, including but not limited to, new employee paperwork, benefit applications, Payroll information, etc.
  • Enters new hire information into Student Information System (SIS) and Time & Attendance systems in ADP; maintains employee data in both systems.
  • Reviews entries to time and attendance system for accuracy. Makes corrections when necessary as the time and attendance system administrator, and ensures proper authorization of the correction.
  • Reviews payroll register presented by Payroll Department to authorize processing of payroll.
  • Assists the HR Department in setting up and executing open enrollments and other Benefit meetings.
  • Coordinates employee family status changes and collects the appropriate paperwork for timely submission to HR Department.
  • Coordinates requests by employees for FMLA, Short-term and Long-term disability by forwarding employee requests to HR and assisting employees in completing paperwork, if necessary.
  • Receives equipment and materials and arranges for distribution to the proper department.

Job Requirements
  • Associates or higher in Accounting, Finance, or related experience.
  • At least 2+ years in a professional environment required. Experience in an educational environment preferred.
  • Must always maintain confidentiality.
  • Knowledge and practical experience beyond basic bookkeeping.
  • Knowledge and practical experience using MS Word, Excel, QuickBooks.
  • Ability to work independently and make decisions in accordance with established policies and regulations.
  • Polite, courteous, and tactful with the public and co-workers.
  • May perform other duties assigned.
