About the College/Unit/Department

The University of Georgia is establishing a new independent School of Medicine in Athens, building on the success of the Augusta University / University of Georgia Medical Partnership, which has been educating physicians in Athens since 2010.

The establishment of a new public medical school at UGA comes as the state faces a significant shortage of medical professionals. The population of Georgia, the nation’s eighth largest state, has surged to approximately 11 million residents, straining existing medical infrastructure and resulting in longer wait times for appointments and reduced access to care. Georgia currently ranks 40th in the nation for the number of active patient care physicians per capita and 41st for the number of public medical students per capita.

As a top 20 public university with a thriving research enterprise and vast public service network, the University of Georgia is well positioned to produce more highly trained physicians, alleviate physician shortages, and improve the state’s ability to provide quality health care for its citizens.

The School of Medicine will be located on UGA’s Health Sciences Campus in Athens, home to UGA’s College of Public Health and the AU/UGA Medical Partnership. The Medical Partnership currently enrolls 60 students per class, but a $100 million new medical school building, to be funded by a 1:1 public/private match, will enable the UGA School of Medicine to grow to 120 students per class in the future.

The University of Georgia School of Medicine has been formally recognized as an applicant for accreditation after being granted Applicant Status by the Liaison Committee on Medical Education (LCME), beginning a multi-year accreditation process.

Position Summary

The UGA School of Medicine (SOM) Registrar works closely with the UGA Office of the Registrar regarding registration-related issues and tasks in the student information system, Banner. The SOM Registrar is responsible for the complete registration process for SOM students each semester. In cooperation with the Office of the Registrar, the SOM Registrar maintains the permanent records and academic documents of all active and former UGA SOM students. The SOM Registrar is responsible for scheduling courses for the SOM each semester and for collaborating with the Curriculum team within the Office of the Registrar on curriculum-related matters for the SOM, such as course approvals, course changes, and new programs. The SOM Registrar is responsible for assisting faculty with grading and curricular matters. The SOM Registrar collaborates with additional offices on campus on behalf of the SOM, including but not limited to the Bursar’s Office and Student Accounts, the Division of Student Affairs, the Office of Institutional Research, and schools, colleges, and departments on campus. The SOM Registrar assists in providing data for any annual reports or necessary certifications by governing bodies or organizations. The SOM Registrar must operate with a high degree of confidentiality and discretion.

Duties/Responsibilities

Serves as the UGA School of Medicine (SOM) liaison to the Office of the Registrar on registration-related issues and tasks.

  • Responsible for the complete registration process for SOM students during the academic year.
  • Helps students register for courses in Banner.
  • Schedules courses each semester in Banner.
  • Assists with curriculum-related matters such as course scheduling course approvals, course changes, and new programs.
  • Assists faculty with grading and curricular matters.
  • Processes changes to enrollment status for student leaves, dual degree study, and withdrawals in Banner.

Maintains permanent student academic records and curriculum records for UGA SOM students.

  • Retains documentation of all SOM specific academic records.
  • Ensures final grades (including grade changes) have been posted in Banner.
  • Verifies the accuracy of student grades in Banner.
  • Processes requests from SOM students and alumni to view permanent student records.
  • Ensures degree candidates have met all graduation requirements.
  • Certifies graduates with the University, AAMC, and NBME.
  • Retains documentation of all curriculum matters and serves as a liaison with any school-level curriculum committees and the University Curriculum Committee.
  • Maintains the UGA SOM course catalog and descriptions with annual updates.

Collaborates with other offices on campus on behalf of the UGA SOM, including but not limited to the Bursar’s Office and Student Accounts, the Division of Student Affairs, the Office of Institutional Research, and schools, colleges, and departments on campus.

Provides data for any annual reports or required certifications by governing bodies or organizations.

Other duties:

  • Provides leave of absence documentation.
  • Provides notary services.
  • Oversees the hiring and onboarding of new staff, partnering with other offices as needed.
  • Collaborates and helps coordinate UGA special events (Orientation, White Coat, Match Day, Graduation, etc.).
  • Other duties as assigned.
