Job Responsibility:

Department: Paddock View Alternative School

Status: Full-time 7:30am-3:30pm

Reports To: Director of Education

Position Summary: The School Administrative Assistant is responsible for performing daily clerical work. A school administrative assistant interacts with students and parents, tracks attendance records, mails school forms, and manages the school calendar. This position is also tasked with supporting communication across the building, updating records and the school information system, and assisting the Director of Education with other responsibilities.

Qualifications:

  • Must possess efficient technological skills and utilize Microsoft Office, create and keep databases, access and utilize email as an effective communication tool, and be able to effectively and accurately submit data reports to the Indiana Department of Education.
  • Experience in working in an office environment that requires multitasking.
  • Has not been convicted of crimes against persons or drug related crimes as evidenced by a criminal background check.
  • Must be competent in reading, writing English, and communication skills.
  • Must be organized, detail oriented, and a positive team player.
  • Experience working in a school setting strongly preferred.
  • Must be at least 21 years of age.
  • Valid driver's license and current automobile insurance.

Primary Responsibilities:

  • Answer phones and transfer calls as needed
  • Maintain accurate and organized system of school records and files
  • Handles any day-to-day clerical needs required by the school
  • Mails student report cards and other necessary forms
  • Uses computer database or filing system to update records as necessary
  • Manages and updates school calendar
  • Provides administrative support to Director of Education or other upper level administrator as needed
  • Attends office meetings and takes minutes
  • Enroll and discharge students
  • Request records from prior schools
  • Distribute school records
  • Prepare and place purchase orders
  • Receive and distribute incoming shipments
  • Monitor and order supplies
  • Assist office personnel when needed for special assignments, during breaks or lunches, or when unavailable
  • Able to supervise residents and work directly with them in many different capacities
  • Other duties as assigned by the supervisor
