Responsibilities

  • Data entry in CommunityForce and Salesforce CRM.
  • Retrieve data from Campus Solutions, Salesforce CRM, SFP, WebNow for entry or reports.
  • Research and respond to external scholarship postings; load data into spreadsheets; weekly Marketing update.
  • File, fax, copy and scan department and student documents.
  • Contact students by phone, email, or text for follow-up on applications.
  • Type labels, letters, memorandums, forms, and reports.
  • Prepare quarterly Scholarship Reviewer materials (holiday cards, etc.).
  • Prepare presentation and event packets as needed.
  • Prepare letters and mailings for departmental projects.
  • Prepare materials for Omaha Steaks Scholarship reviewer.
  • Create scholarship flyers for internal sharing with students.
  • Assist in adding scholarship criteria in CommunityForce.
  • Proofread projects and jobs.
  • Assist with on-campus events, planning and student panels.
  • Attend college fairs and event setups as needed.

Primary Function:

Under the direct supervision of the Director, Scholarships & Grants, the position is responsible for providing administrative assistance to the Scholarship and Grants Program Department.

Essential Functions:
Provides administrative assistance to include:
  • Data entry in CommunityForce and Salesforce CRM.
  • Retrieves data from Campus Solutions, Salesforce CRM, Student Financial Planning (SFP), WebNow, etc. for entry or report development.
  • Researches and responds to posting requests for external scholarship opportunities. Loads information into spreadsheets and develops a weekly update list to be submitted to the Marketing Department for keeping opportunities updated on the Bellevue.edu website external scholarship links.
  • Files, faxes, makes copies and scans department and/or student documents.
  • Assists department in contacting students via phone, email, and/or text for follow up on application and acceptances of scholarships and/or regarding attendance at events, programming, receptions, and donor meetings.
  • Types labels, letters, memorandums, forms, and reports.
  • Prepares quarterly Scholarship Reviewer materials through creative expression (i.e. creating holiday cards, Valentine’s Day cards, etc.)
  • Puts up and takes down seasonal department decorations and/or creates decorations.
  • Prepares presentation and event packets as needed.
  • Prepares letters and mailings for specific departmental projects.
  • Prepares scholarship reviewer materials for the Omaha Steaks Scholarship.
  • Creates scholarship opportunity flyers for internal staff to share with prospective and current students.
  • Assists in adding scholarship criteria to individual scholarships within the CommunityForce application site.
  • Assists in proofing projects/jobs.
  • Assists with on campus events through planning and preparation as well as speaking to prospective students as part of student panels.
  • Attends and assists at college fairs, table sets at community events, etc. as needed.
Marginal Duties and Responsibilities:
  • Performs other duties as requested.

  • Ability to work independently, but as part of team concept.
  • Must be able to maintain regular and predictable attendance.
  • Bilingual: Spanish-English highly desired, not required
Working Conditions:
  • Works in a normal office environment.
  • Occasional standing, stooping, and lifting based on task assignment
  • Occasional carrying of up to 20 lbs. based on task assignment
Additional Considerations:
  • This is a Federal Work Study (FWS) student employee position that is open only to currently enrolled Bellevue University students who have Federal Work Study as part of their financial aid package. Students must have completed a FAFSA and accepted their FWS offer before they can apply for a FWS position.
