Responsibilities

  • Maintain accurate project data, forms, and records in designated systems to support consistency and compliance, including project directory maintenance using PIPS.
  • Upload, distribute, collect, organize, and maintain project documentation within project management systems.
  • Assist project teams in navigating company systems, generating data, and preparing reports.
  • Support the processing of project commitments; ensure commitments are fully executed, appropriately distributed, and accurately updated across all required systems.
  • Ensure external partners provide required documentation in accordance with contract requirements.
  • Review documents for accuracy, clarity, completeness, presentation, and adherence to team and client standards to support timely payment.
  • Assist the project team and accounting function by collecting and organizing Accounts Payable and Accounts Receivable documentation.
  • Support the administration of project-related programs by understanding applicable administrative requirements.
  • Submit and maintain data related to project costs and accounting activities.
  • Assist with collecting, managing, and developing project closeout documentation.
  • Travel as required.

Scope of Position

The Project Coordinator supports the project team by managing essential administrative, documentation, and project financial functions required for successful project execution. This role maintains accurate project data and records, assists with commitments and accounting documentation, and helps ensure project documentation complies with company, client, and contract requirements. The Project Coordinator works under the supervision of the Project Team and participates in training on company management tools, standards, policies, and procedures.

Education & Years of Experience

  • Project Coordinator I: Associate degree required; or high school diploma/equivalent with two years of relevant experience.

Environmental Factors and Physical Requirements

While performing the duties of this job, team members may be required to visit alternate locations and therefore must have ordinary ambulatory skills sufficient to do so. This position requires the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination; arm, hand, and finger dexterity, including the ability to grasp; and visual acuity to use a keyboard, operate equipment, and read application/form information. The team member is frequently required to sit, reach with hands and arms, talk, and hear.
