Scheduler, Central Referral Office (CRO) (Administrative)

JOB SUMMARY: Working closely with the CRO Manager and the Director of Patient Access, utilizing EMR to coordinate inbound and outbound referrals for CARTI providers and services. Ensures appropriate medical records are provided with outbound and inbound referral order/request, based on agreed upon policy. When documents are not provided, conduct the necessary follow‑ups to obtain documents. Registers patient in Centricity and contacts patient to schedule appointment based on agreed upon scheduling policy by provider. Compiles new patient packet to send prior to new patient appointment (if applicable), updates Salesforce of all communication for appointment status tracking and notifies referring provider of patient appointment.

JOB SPECIFIC DUTIES AND RESPONSIBILITIES
  • Serves as the one of the primary persons for external resources to schedule new Medical Oncology patient appointments.
  • Ensures all appropriate clinical records are obtained prior to patient scheduling appointment.
  • Contacts patient to schedule appointment.
  • Responds to referring provider regarding the status of the patients appointment in a timely manner.
  • Competent in administrative functions of Electronic Medical Records.
  • Performs medical receptionist duties as necessary for the CRO department.
  • Answers telephone, screens calls, takes messages and provides accurate information.
  • Always demonstrates impeccable integrity in a professional and courteous manner.
  • Other responsibilities and projects assigned by management as needed.
  • Updates Salesforce for tracking the process of new patients with the CRO department.

Overtime may be required as necessary.

High school diploma or GED

  • Knowledge of grammar, spelling, and punctuation to type from draft copy, review and edit reports, and correspondence

Must interact and communicate well both verbally and in written form. Must interact and exchange information regarding patients with physicians and other departmental personnel, and outside agencies on a frequent basis while respecting the confidentiality of patient information.
