Qualifications

  • Graduate from an accredited Medical Assistant Program or equivalent.
  • At least two years of oncology or women’s health experience preferred.
  • Excellent communication and typing skills; proficient in EMR and Excel.

Responsibilities

  • Intake, scheduling and work-up of new patient referrals.
  • Assist with outside scheduling and day-to-day operations of CARE Clinic.
  • Cover as Medical Assistant in clinic with Advanced Practice Providers as needed.
  • Promptly carry out urgent referrals/orders and ensure timely scheduling of diagnostics.

  • Keep APPs and managers informed of patient progress and issues.

As a Scheduler in our CARE Clinic, you'll play a vital role in ensuring oncology patients receive timely access to the specialized care and support they need. Through exceptional customer service, coordination, and compassion, you'll help create a seamless experience for patients and families during some of life’s most challenging moments.

Highlands Oncology began in 1996 with three physicians and a desire to change the face of oncology care in our community. Dr. Malcolm Hayward, Dr. Dan Bradford, and Dr. Thad Beck knew that patients do better at home, in the community where they live and work, and where their support system is already in place. In furthering that goal, Highlands has grown with the region from a single location 26 years ago, to 6 locations in Northwest and Northcentral Arkansas today employing more than 800 diverse team members.

Job Summary:

Intake, scheduling and work-up of new patient referrals both internal and external. Assist with outside scheduling and day-to-day operations of CARE Clinic. Cover as Medical Assistant in clinic with Advanced Practice Providers as needed.

Job Duties / Responsibilities:
  • Help to coordinate a patient’s care from the time of referral, and throughout long-term surveillance plan.
  • New Patients must be scheduled within 7 business days of being received.
  • May Speak with Genetic patients prior to visiting to obtain necessary medical history and pedigree. Create Pedigree if applicable.
  • May help CARE Clinic Navigator to pre-load new patient charts with patient’s medical, surgical, and social history.
  • Import imaging reports from various sources into the chart in preparation for clinic.
  • Compile each new patient’s CARE Clinic folder.
  • Promptly carrying out urgent referrals/orders. Urgent referrals should be sent on the same visit day.
  • Send monthly batch of screening orders
  • Follow up on all outgoing orders to ensure external clinic receives orders. Ensure patients are scheduled for diagnostic testing in a timely manner.
  • Provide education and support to patients.
  • Answer CARE Clinic phone line
  • Return patient calls or Canopy tickets within 24 hours, appropriately triage to Refill Nurse, APP or MA.
  • Manage appointment reminder/confirmations for all CARE Clinic appointments
  • Keep APPs and manager informed of patient progress, issues, or concerns.
Requirements
Required Skills/Abilities:
  • Must possess excellent communication skills both written and verbal.
  • Excellent people skills include, but not limited to adaptability, assertiveness, problem solving and teamwork.
  • Maintains high standard of professional performance, behavior, and appearance.
  • Proficient in use of EMR (electronic medical record)
  • Ability to perform basic functions in Excel.
  • Typing skills
Certifications/Licenses/Education/or Experience in a related field:
  • Graduate from an accredited Medical Assistant Program or equivalent, or aptitude for the job duties and responsibilities.
  • At least two years of oncology or women’s health experience preferred but not required.
Physical Requirements:
  • Standing and Walking: Must be able to stand and walk for extended periods throughout the shift.
  • Lifting and moving patients: Ability to lift, move, and assist patients, often requiring more than 50 pounds.
  • Pushing and Pulling: Must be able to push and maneuver equipment and patient transport devices.
  • Fine Motor Skills: Requires good hand-eye coordination to operate controls and handle small objects.
  • Repetitive Motions: Frequent use of hand and fingers for operating machinery and adjusting settings.
  • Bending and Reaching: Must bend, stoop, twist, and reach to position patients and operate equipment.
