Job summary

Safran Electronics & Defense in West Henrietta, NY seeks a Sales Operations Administrator to own order administration from PO intake to ERP entry and invoicing support. You will coordinate with Planning, Production, Finance, and Logistics to ensure accurate, compliant, and timely processing of orders.

The role requires 1–3 years in sales operations, experience with Salesforce and SAP, and a meticulous, collaborative approach to data and process improvements.

Qualifications

• Associate degree in business, supply chain, operations, or related field.
• 1–3 years in sales operations, order management, or related roles.
• Experience with ERP and CRM systems; Salesforce and SAP preferred.
• Exceptional attention to detail, organization, and communication.

Responsibilities

• Own accurate and timely order administration from PO intake through ERP entry and invoicing support.
• Coordinate order dates/changes with Planning and Operations; maintain traceable records.
• Provide clear, professional communication to customers and internal stakeholders about status and next steps.
• Maintain accurate customer/operational data in Salesforce, SAP, and approved tools.
• Coordinate onboarding, compliance, export, shipping, and documentation requirements.
• Support global/intercompany process alignment by documenting differences and standardizing workflows.
• Develop and maintain SOPs, templates, checklists, onboarding materials, and process maps.
• Contribute to metrics on turnaround time, accuracy, backlog, and data quality.
• Participate in training and cross-functional reviews to deepen product/process knowledge.

We’re looking for a Sales Operations Administrator to join our growing team in West Henrietta, NY.

The Position

This role is essential to keeping the sales engine running smoothly by owning critical order, data, documentation, and customer-communication workflows across a global, technical organization.

The ideal candidate enjoys bringing order to complexity. You will work across Sales, Planning, Production, Finance, Logistics, Customer Support, Legal, Compliance, Quality, and IT to ensure customer orders and related processes are accurate, complete, compliant, and moving forward.

The Day To Day

• Own accurate and timely order administration from purchase order intake through ERP entry, confirmation, invoicing support, shipment coordination, and post-shipment follow-up.
• Coordinate order dates and changes with Planning and Operations, communicate customer-impacting updates, and maintain traceable records in the appropriate systems.
• Provide clear, accurate, and professional communication to customers and internal stakeholders regarding order status, documentation, shipment timing, invoice questions, and next steps.
• Maintain accurate customer and operational data in Salesforce, SAP, and approved supporting tools.
• Coordinate onboarding, compliance, export, shipping, and documentation requirements with the appropriate internal experts.
• Support global and intercompany process alignment by sharing requirements, documenting differences, and helping standardize repeatable workflows.
• Develop, maintain, and continuously improve SOPs, work instructions, templates, checklists, onboarding materials, and process maps for Sales Operations workflows.
• Contribute to relevant metrics and reporting for turnaround time, accuracy, backlog, order exceptions, data quality, process adherence, and customer-impacting issues.
• Participate in team training, cross-functional reviews, and continuous-learning activities that deepen product, process, system, and communication knowledge.

What You Bring To Safran

• Associate degree in business, supply chain, operations, or a related field, or an equivalent combination of education and relevant experience.
• 1-3 years of experience in sales operations, order management, customer operations, sales support, supply chain coordination, or a comparable role.
• Experience with ERP and CRM systems; Salesforce and SAP experience is preferred.
• Exceptional attention to detail, organization, communication, and follow-through.
• The judgment to resolve standard issues independently and elevate exceptions with useful context.
• A collaborative, customer-focused, and improvement-oriented approach to work.
