General Summary: The Sales Project Manager plays a vital role in supporting our sales team and facilitating a seamless process for prospects and buyers. This role involves sales coordination, contract management, event planning, and member relations — all designed to ensure a first-class experience for future members of our community.

Essential Job Duties

  • Sales Support & Coordination
  • Prepare sales packets and collateral in advance of appointments; manage brochure inventory and marketing materials.
  • Coordinate sponsorship packages and assist with outbound communications to prospects.
  • Maintain Salesforce (or CRM) records by tracking new contacts, unit turnover, and sales pipeline activities.
  • Member & Community Relations
  • Coordinate memorial donations and flower orders for services.
  • Serve as a liaison for member inquiries, ensuring timely and thoughtful responses.
  • Assist with new member onboarding in partnership with the Accounting and PHP teams.
  • Event Planning & Coordination
  • Plan and execute sales and community engagement events.
  • Manage RSVPs and collaborate with Food Service and AV teams.
  • Prepare event materials, including handouts, promotional items, and signage.
  • Contract & Closing Support
  • Manage due diligence paperwork, collect signatures, and maintain organized contract files.
  • Assist with preclosing activities, including coordination with Executive Assistant and notifying relevant departments (Security, Facilities).
  • Prepare units for showings to ensure they are presentable and welcoming.
  • Administrative & Property Support
  • Schedule repairs or services as needed, coordinating with tradespeople and buyers/sellers.
  • Maintain organized electronic files by scanning and indexing documentation.
  • Track important sales milestones such as listing and closing dates.

QUALIFICATIONS:

Experience: Minimum of 3 years in sales support, project coordination, or related field; experience in senior living or luxury services is preferred.

Technical Skills: Proficiency in Salesforce or similar CRM platforms; strong computer literacy.

Communication: Excellent written and verbal communication skills; strong interpersonal abilities.

Organization: Highly organized with exceptional attention to detail and the ability to manage multiple priorities.

Event Planning: Prior experience coordinating events, including logistics and materials.

Professionalism: A collaborative, team-oriented mindset with a polished and professional demeanor.

Physical Requirements/Working Conditions

Normally works in well-lit, comfortable surroundings. Must be able to concentrate with frequent interruptions. Must be able to walk for 75% of the workday. Must be able to tour though the entire building including the ability to push an individual in a wheelchair. Must be able to bend and stoop and be able to lift and carry up to 25 pounds independently.
