What you will be doing
Responsible for preparing all event documentation and coordinating with Sales, property departments, and customers to ensure consistent, high-level service throughout pre-event, event, and post-event phases. Ensures seamless turnover from sales to service back to sales. Also responsible for answering incoming calls, greeting guests, and directing them to the appropriate sales personnel. Keeps the Director of Sales and staff informed of all messages in their absence.
ESSENTIAL FUNCTIONS:
- Organize and manage local events to showcase the property and brand, demonstrating music industry connections.
- Initiate agreements with entertainment artists for local support and performances.
- Translate strategy into specific actions and accountabilities to achieve results.
- Maintain presence during peak business periods.
- Enhance group business experience through customization.
- Ensure quality and timeliness of work by contracted vendors.
- Participate in Sound Check meetings each shift.
- Always greet with a smile and warm welcome.
- Perform additional duties as requested by managers and supervisors.
- Coordinate operations with other departments as needed.
- Present a professional image to all stakeholders.
- Ensure events run smoothly by following procedures, collaborating, and ensuring accuracy.
- Greet customers during events and hand off to Event Operations team for execution.
- Adhere to all standards, policies, and procedures.
- Ensure billing accuracy and review bills with clients before final processing.
- Communicate event details verbally and in writing to customers and property operations.
- Maintain a visible presence during events.
- Obtain feedback from guests on product quality and service levels.
- Type contracts for DOS and Sales Manager promptly.
- Type appointment letters, thank you letters, and tentative bookings timely.
- Follow up with clients regarding reservations and billing.
- Coordinate social media posts about hotel events.
- Manage events posted on Eventbrite.
- Conduct hotel tours when needed.
- Type proposals and maintain files promptly.
- Take clear messages for sales personnel.
- Attend pre-conference meetings as called.
- Greet guests professionally.
- File sales documents daily.
- Prepare sales department mail and convention kits daily.
- Manage mail and office supplies weekly.
- Maintain confidentiality of sensitive information.
Perform other duties as requested by management.
Education & Experience
Bachelor's degree or equivalent experience. 1-2 years in related roles.
