A growing California-based estate planning and special needs law practice is hiring a Sales & Intake Specialist to join its fully remote team.
The practice focuses on estate planning and special needs planning, particularly for families caring for loved ones with disabilities or mental health challenges. The work is meaningful, the client relationships are long-term, and the team is committed to providing an experience that is warm, compassionate, and genuinely helpful.
This position will be responsible for guiding qualified prospective clients through the sales and intake process, as well as helping existing clients enroll in the practice's Trust Maintenance Program (TMP), an ongoing membership designed to help families keep their estate plans current as their lives and circumstances change.
About the Role
As the Sales & Intake Specialist, you will be one of the first people prospective clients interact with. You'll help families understand their next steps, answer questions, address concerns, and guide them toward moving forward with the appropriate legal services.
Legal experience is helpful but not required. Experience in professional services, consultative sales, customer success, client intake, or another relationship-based sales environment may translate well to this position.
What You'll Do
Sales & Client Conversations
- Conduct follow-up conversations with pre-qualified prospective clients.
- Understand prospective clients' needs, concerns, and goals.
- Clearly communicate the value of the firm's services.
- Answer questions and address objections with empathy and confidence.
- Guide qualified prospects toward making a decision and moving forward.
- Follow up consistently with leads who have not yet made a decision.
- Become comfortable asking for payment and closing sales while maintaining a consultative, no- pressure approach.
Trust Maintenance Program
- Speak with existing clients about the Trust Maintenance Program.
- Explain the benefits of ongoing estate plan maintenance in a clear and accessible way.
- Help clients understand how ongoing support can help their plans remain aligned with changes in their families, assets, and circumstances.
- Address questions and hesitations and guide interested clients through enrollment.
Lead Follow-Up & Pipeline Management
- Follow up with qualified leads through phone, email, and text.
- Maintain consistent and timely communication throughout the intake process.
- Manage an active pipeline and prioritize follow-ups appropriately.
- Identify opportunities to improve conversion and client experience.
- Maintain a high level of responsiveness and professionalism with every interaction.
Tracking, Reporting & KPIs
- Track leads, consultations, conversions, TMP enrollments, and other intake metrics.
- Monitor individual performance against established KPIs and goals.
- Provide regular reporting to leadership.
- Use data and performance trends to identify opportunities for improvement.
Scheduling & Intake
- Schedule consultations between prospective clients and attorneys.
- Coordinate calendars and availability to ensure a smooth client experience.
- Gather and maintain accurate client information.
- Ensure prospective and existing client records are complete and up to date.
CRM Management
- Maintain detailed and accurate records in Lawmatics.
- Document client conversations, follow-ups, outcomes, and next steps.
- Keep the pipeline organized and current.
- Follow established processes for tracking and managing leads.

The ideal candidate is someone who combines sales ability with genuine empathy and excellent communication skills.

- Demonstrated experience in sales, client intake, customer service, customer success, or relationship management.
- A proven ability to work toward and achieve measurable sales or conversion goals.
- Strong verbal and written communication skills.
- A warm, confident, and professional phone presence.
- The ability to build rapport quickly with people from different backgrounds.
- Strong emotional intelligence and the ability to recognize when a client needs empathy, information, reassurance, or a clear next step.
- Comfort handling objections and having direct sales conversations.
- Confidence asking for payment and closing a sale without relying on high- pressure tactics.
- Strong follow-up habits and the ability to manage multiple conversations at different stages of the pipeline.
- Excellent organizational skills and attention to detail.
- Experience working with CRM systems; Lawmatics experience is a plus.
- Proficiency with Microsoft Office Suite.
- The ability to work independently and stay accountable in a fully remote environment.
- A willingness to learn and continuously improve.
Nice to Have
- Experience working in a law firm or professional services environment.
- Familiarity with estate planning, elder law, special needs planning, or trust administration.
- Experience selling services rather than physical products.
- Familiarity with the special needs community.
- Personal or professional experience supporting individuals or families with special needs.

Compensation & Benefits
- Starting salary at $50,000 base salary (commensurate with experience), plus bonuses
- Quarterly profit-sharing bonus
