Job summary

Zero Impact Solutions is seeking a Sales Admin to facilitate data entry, build financial models, and manage project workloads. You will work across teams to keep a busy caseload accurate while driving efficiency with AI-powered documentation and reporting tools.

The role emphasizes process improvement, revenue projections, and rebates knowledge in the EV charging space. A PMP or project-management mindset is a plus, with startup experience viewed favorably.

Qualifications

• 1-3 years of related experience and/or training or equivalent combination of education and experience.
• PMP Certification from PMI or industry equivalent is a plus.
• Experience supporting a sales team.
• Strong Excel/Google Sheets experience (pivot tables, look-ups, advanced formulas, macros).
• CRM experience (Zoho, Slack, etc.).
• Excellent analytical skills.
• Excellent listening, interpersonal, written (email), and oral communication skills.
• Advanced skills in Microsoft Office applications (Excel, Outlook, Word).
• Confident in project handling and performance delivery.
• Solution-oriented with ability to solve high-stakes cases on short notice.
• Start-up experience is a plus.

Responsibilities

• Develop and optimize operational procedures and technical solutions.
• Serve as go-to resource for sales reps: answer questions and guide on future deals.
• Possess PMP-like project management skills to manage assigned projects.
• Meet with teams to review milestones, deadlines and status.
• Support daily business functions: communication, updates and rebate submissions.
• Develop understanding of the EV charging industry and rebate programs.
• Maintain and create documentation on business processes.
• Other duties as assigned.

JOB SUMMARY

• The Sales Admin partners with departments across the organization to facilitate data entry, create financial documentation, and ensure accuracy while maintaining processes to keep teams on track of project caseload.

JOB RESPONSIBILITIES

• Project Management (50%), Data Entry (50%), and Continuous Process Improvement.
• Utilize Artificial Intelligence (AI) to improve efficiency in documentation, data management, and reporting.
• Build and maintain financial models and multi-year revenue projections, including cost analysis, pricing, and cashflow forecasting.
• Constructively participate in developing and optimizing operational procedures and technical solutions.
• Serve as the go-to resource for sales reps: field questions, troubleshoot issues, and provide guidance on future deals.
• Ideal candidates should have Project Management skills to manage assigned projects.
• Meet with various teams to review project milestones, deadlines, and general status updates.
• Support business functions daily for communication, updates, and facilitating submission of rebate applications and documents.
• Develop a strong understanding of the EV charging industry and the corresponding rebate programs.
• Maintain and create documentation on business processes.
• Other duties as assigned.

JOB QUALIFICATIONS/SKILLS

• 1-3 years of related experience and/or training or equivalent combination of education and experience.
• Project Management Professional (PMP) Certification from the Project Management Institute (PMI) or industry equivalent from an accredited school is a plus.
• Experience supporting a sales team.
• Strong Excel/Google Sheets experience (pivot tables, look-ups, advanced formulas,, macros, etc.)
• CRM experience (Zoho, Slack, etc.)
• Excellent analytical skills.
• Excellent listening, interpersonal, written(email), and oral communication skills.
• Advanced skills in Microsoft Office applications, specifically Excel, Outlook, and Word.
• Confident in their ability to handle assigned projects and show performance in their work.
• Solution-Oriented, capable of problem-solving high-stakes cases with short notice.
• Experience working in a start-up company is a plus.
