The HSE Coordinator is the day-to-day operational backbone of the HSE division and the primary field-level HSE presence across all active job sites. This role is responsible for executing the safety programs, training, documentation, and compliance activities that keep the company's people safe and its records audit-ready. The Coordinator works closely with and reports directly to the HSE Manager, who provides strategic direction, prioritization, and escalation support. This is a predominantly operations-facing position - the Coordinator is expected to be visible, accessible, and present on active job sites and throughout shop facilities as the primary HSE contact for all personnel on a daily basis. The Coordinator also plays an important role in reinforcing the company's shared safety culture, working alongside Operations supervisors and Project Managers who carry their own active responsibility for safety outcomes.

KEY RESPONSIBILITIES
Safety Compliance - Field & Shop
  • Conduct regular walkthroughs, inspections, and hazard observations across both job sites and shop facilities
  • Identify unsafe conditions or behaviors in all work environments and elevate or correct promptly
  • Assist with job hazard analyses (JHAs) and pre-task planning on active projects and shop operations
  • Ensure personal protective equipment (PPE) compliance across all field and shop personnel
Field & Shop Floor Presence
  • The Coordinator is expected to spend the majority of working time out of the office and present where the work is happening - this includes both active job sites and the company's shop facilities
  • Rotate coverage across all active job sites and shop floors regularly, ensuring consistent HSE visibility across every area of operations
  • Serve as the primary HSE face for all frontline workers - in the field and in the shop - the person employees see regularly, know by name, and feel comfortable approaching with safety concerns
  • Conduct daily safety observations in both shop and field environments and document findings in the company's record management system
  • Be present for new crew mobilizations, subcontractor arrivals, and the start of any high-risk work scopes - whether on a job site or within shop operations
  • Communicate observations, hazard trends, and escalating concerns from both the shop and field to the HSE Manager on a regular basis
  • Coordinate with the HSE Manager on scheduling to ensure no active job site or shop facility goes without an HSE presence for extended periods
OSHA & Regulatory Compliance
  • Support OSHA recordkeeping - maintain the 300 log, 300A summaries, and incident records
  • Assist the HSE Manager with regulatory audits, inspections, and agency correspondence
  • Stay current on applicable OSHA standards and flag relevant updates to the Director
Incident Reporting & Documentation
  • Serve as the HSE first responder for incident documentation - collect first reports, photographs, witness statements, and initial facts promptly
  • Understand that incident reporting is a shared responsibility: Operations supervisors are expected to be actively involved in reporting events within their crews, and the Coordinator supports and reinforces that expectation
  • Complete incident investigation documentation and submit to the HSE Manager - investigations are a collaborative process with Operations Management, who often take the lead
  • Track corrective actions assigned from investigations and follow up with the responsible party until closure
  • Maintain incident files within the company's record management system and ensure records are complete and up to date
Training & Onboarding
  • Conduct new hire safety orientations for all field and shop personnel
  • Deliver toolbox talks, site-specific safety briefings, and ongoing training sessions
  • Maintain all training records within the company's record management system - track completion dates, expiration dates, and upcoming recertification needs for all active employees and new hires
  • Proactively flag upcoming certification expirations to the relevant Operations supervisor and the HSE Manager with sufficient lead time to schedule renewal
  • Coordinate scheduling of required certifications (First Aid, CPR, OSHA 10, etc.) in partnership with Operations supervisors
Documentation & Systems
  • Manage daily safety documentation - order forms, inspection checklists, safety logs, and compliance records - within the company's record management system
  • Ensure all safety documentation is organized, current, and accessible for internal review or client requests
  • Prepare safety submittals, JSAs, and pre-task plans under the direction of the HSE Manager
  • Assist with subcontractor safety orientation documentation and pre-qualification file maintenance
  • Compile and provide weekly data inputs to the HSE Manager for the HSE dashboard - including safety observations, inspection summaries, training completion status, and any incidents or events from the reporting period
Subcontractor & Visitor Safety Support
  • Conduct subcontractor and visitor safety orientations under the framework established by the HSE Manager
  • Monitor subcontractor compliance with company safety requirements on active job sites
  • Document and report any subcontractor non-compliance observations to the HSE Manager
SAFETY CULTURE & OPERATIONS PARTNERSHIP

This company's safety culture is built on a clear belief: the HSE team leads the safety program, but the Operations Management team is equally responsible for safety outcomes. The Coordinator plays a key role in making that partnership work at the operational level - both on job sites and within shop facilities.

  • Work alongside Operations supervisors and Project Managers daily - not above them or separate from them - to reinforce safety expectations in real time
  • Support Operations leaders in fulfilling their safety responsibilities: help them understand requirements, prepare for high-risk tasks, and follow through on corrective actions
  • When an incident occurs, the expectation is that the Operations supervisor on that crew is an active participant in the response and reporting process - the Coordinator supports and enables this, not replaces it
  • Communicate field safety observations and concerns to the relevant Operations supervisor first, escalating to the HSE Manager as needed
  • Recognize that a strong safety culture is built by Operations leaders who own safety in their work - the Coordinator's job is to equip, support, and hold that standard
