About the role The Safety Coordinator is responsible for monitoring, managing, and improving safety practices and compliance within the company. This role involves conducting training, audits, and inspections, investigating incidents, and ensuring that all employees adhere to safety standards.
Essential Duties and Responsibilities:
The essential functions include, but are not limited to the following:
- Processing driver applications, ensure compliance with company policies, order required documents and investigate driver’s background, and perform annual reviews.
- Interpret and explain policies, procedures, laws, standards, and regulations pertaining to the independent contractor relationship. Handle questions, interpret and administer contracts and resolve related issues.
- Conduct distribution of electronic logging devices and printers, orientation and further control for smooth operation.
- Assist applicants in the completion of all paperwork including OCC-ACC insurance processes. Review and report any issues with data collected regarding thoroughness and accuracy and record as required.
- Collect and organize on-board documents, organize and create all files including DQ and Maintenance. Record all new driver information into the system and physical folders, and maintain all records up to date.
- Oversee the compliance of items subject to expiration such as CDLs, medical cards, truck registrations, annual inspections, monthly maintenance reports, and insurance certificates. Communicate requirements and ensure items are received prior to expiration.
- Distribute, keep track and remove electronic devices and make sure it’s used correctly and in full potential.
- Proactively communicate with dispatch and accounting teams for any issues arising with their drivers.
- Control the procedures for driver and/or truck terminations, collect documents such as company fuel cards, and EZ-Pass and ensure the escrow account is updated and correct.
- Ensure compliance with DOT random testing requirements coordinates and monitors EMBA drug and alcohol testing practices in compliance with return to work, DOT, or Insurance policy requirements.
- Audit the current driver base to ensure every driver is in compliance with safety standards. Audit all compliance documents.
- Responsible for fleet registration, adding/deleting drivers and equipment on insurance.
- Proactively works with in-house shop to ensure vehicle maintenance and DVIR records are compliant per DOT regulations.
- Responsible for keeping the fleet current in all state permits.
- Verify and save insurance documents directly from the insurance company.
- Ensure driver insurance records are up to date with current coverage.
- Enter safety information into the operating system and control its accuracy.
- Proactively research methods to improve our safety department.
Qualifications:
- Education: High school diploma or equivalent (Bachelor’s degree in Safety Management, Transportation, or related field preferred).
- Experience: 1+ year of experience in safety coordination or compliance within the transportation industry; Familiarity with DOT, FMCSA, and OSHA regulations.
Skills:
- Strong organizational skills with attention to detail.
- Excellent communication and interpersonal skills to engage with drivers and staff.
- Ability to analyze data and incident reports to develop actionable safety strategies.
- Proficiency in Microsoft Office Suite and safety/compliance management software.
- Ability to work independently and as part of a team.
Certifications (Preferred): Certified Safety Coordinator (CSC) or equivalent certification; Training in accident investigation or OSHA safety standards is a plus.
