Job Title: Safety Coordinator, Construction (Mechanical) (On-Site)

Location: Ashburn, VA 20147

Reports to: Director, Safety

FLSA Status: Full-Time / Exempt

Work Shift: 7:00 a.m. to 4:00 p.m. / Mon. – Fri.

SUMMARY

The Safety Coordinator provides administrative and operational support to the Safety Director, project teams, and project safety personnel. The position is primarily responsible for maintaining safety records, administering electronic safety systems, coordinating training documentation, updating safety plans, and preparing incident and investigation documents for review by the Safety Director. Under the direction of the Safety Director or Safety Manager, the Safety Coordinator also assists with incident investigations, root cause analysis, corrective action tracking, workplace inspections, and compliance with company policies, contractual requirements, and applicable safety regulations.

Essential Duties & Responsibilities

  • Provide administrative support to the Safety Director and project safety teams.
  • Enter, maintain, and review information in the company’s electronic safety management and incident reporting system (Novara Flex).
  • Maintain accurate records for incidents, injuries, near misses, inspections, audits, training, certifications, and corrective actions.
  • Collect and organize incident information, including statements, photographs, timelines, reports, and supporting documentation.
  • Review incident documentation for completeness and prepare investigation reports for review and approval by the Safety Director.
  • Assist with incident and near-miss investigations under the oversight of the Safety Director or Safety Manager.
  • Support root cause analysis by organizing evidence, documenting contributing factors, identifying potential underlying causes, and assisting with corrective action recommendations.
  • Track corrective and preventive actions, responsible parties, due dates, and completion status.
  • Prepare safety reports, summaries, logs, and trend information for management review.
  • Update Health and Safety Plans, Job Hazard Analyses, policies, procedures, forms, and other safety documentation.
  • Coordinate safety training, toolbox talks, employee certifications, and related recordkeeping.
  • Monitor training and certification expiration dates and communicate renewal requirements.
  • Assist with workplace safety audits.
  • Support compliance with the company Safety Program, OSHA requirements, company policies, and contractual safety requirements.
  • Maintain confidentiality when handling employee, medical, incident, and investigation information.
  • Perform other duties as assigned by the Safety Director or operational leadership.
Qualifications
  • 5+ years of experience in a safety related department or field
  • Bachelor’s degree in Health and Safety and/or environmental or related academic discipline
  • Familiarity with OSHA 1910 and OSHA 1926 standard and regulations
  • Familiarity with OSHA reporting and record keeping requirements
  • Familiarity with the construction industry, OSHA, federal, state, and city environmental and safety regulations and practices.
  • OSHA 10-hour and OSHA 30-hour construction safety class or equivalent and maintain competency through 24 hours of formal safety and health related coursework every four years.
  • Proficiency in Microsoft Office applications, (i.e. Outlook, Word and Excel).
