Base pay range

$65,000.00/yr - $88,000.00/yr

We are seeking a detail-oriented and proactive Rights and Permissions Manager to help shape the foundation of how our company responsibly uses and protects intellectual property, ensuring students and teachers receive high-quality, legally compliant content. The Rights and Permissions Manager will lead the acquisition, tracking, and management of rights, licenses, and permissions for all creative and educational assets. This role plays a critical part in ensuring legal compliance, brand protection, and operational efficiency across our publishing efforts.

Job Responsibilities:

Rights Acquisition & Management

  • Secure and negotiate permissions for third-party content (images, video, audio, text, software, etc.)
  • Draft and manage license agreements, image releases, likeness permissions, and contracts in collaboration with legal counsel.
  • Monitor rights status (term, territory, media use, exclusivity, product/program assignment) and ensure renewals or takedowns are handled proactively.

Governance, Tracking, and Compliance

  • Establish and maintain standards and processes for rights clearance and documentation across all product types.
  • Collaborate with cross-functional teams, including Creative, Product, Content, etc. To ensure rights and usage are tracked throughout the development lifecycle.
  • Work closely with digital asset coordinator and production to support asset tracking and ensure accurate metadata is applied and maintained in the asset management systems.
  • Advise internal teams on the usage limitations and risk mitigation
  • Lead compliance checks for asset usage in products, programs, campaigns, and partnerships.

Documentation & Systems Management

  • Develop and maintain a centralized rights and permissions tracking system.
  • Ensure assets and metadata in DAM systems reflect correct licensing terms, contributors, and usage approvals.
  • Provide reporting and documentation for audits, renewals, and executive review.
  • Serve as the primary point of contact for rights and permissions across the organization.
  • Support vendor onboarding and review third-party supplier rights documentation and indemnification clauses.
  • Collaborate with internal teams to ensure proper asset governance and recordkeeping.
  • Educate internal teams on copyright, trademark, and permissions best practices.

Performs other role related duties as assigned.

Requirements and Qualifications:

  • A bachelor’s degree in publishing, communications, media law, or related field is preferred.
  • 5+ years' experience in rights management, permissions, and/or intellectual property, ideally within educational publishing or media.
  • A deep understanding of copyright, fair use, trademark, and licensing standards.
  • Familiarity with DAM systems and asset lifecycle management.
  • Excellent negotiation, documentation, and project management skills.
  • Possesses functional expertise; can effectively share knowledge, train and coach others, and identify and resolve functional issues.
  • Excellent communication skills and interpersonal skills; able to build relationships, influence others, and give and receive effective feedback.
  • Strong organizational and analytical skills; able to make data-driven decisions, prioritize tasks, manage deadlines, delegate, and utilize resources efficiently.
  • Able to act with integrity, professionalism, and confidentiality in complex situations; comfortable holding others accountable for the same.
