Description

Operations Project Coordinator must possess a combination of business acumen, technical skills, and the ability to effectively communicate with management team, field employees, and all internal company stakeholders. Work closely with the Managing Director to facilitate projects and become knowledgeable of the client's right-of-way manual.

Key Responsibilities
  • Project scheduled to kick off this summer, June–September.
  • Project execution, scheduling, quality of deliverables, employee relations, and accounts management.
  • Planning and execution: enhance profitability, productivity and efficiency throughout the company’s operations for projects in the region.
  • Customer service/satisfaction: work with GM, RD, and RMs to understand customer needs and ensure satisfaction.
  • Safety: responsible for adhering to written safety and operational procedures.
  • Assist GM and RD with client contract management for the region.
  • Review and understand contract/work order terms for projects within the region.
  • Work closely with RD and RMs to develop project scope, budget, deliverables, and reports.
  • Refine company SOPs in accordance with client deliverables, coordinating between Operations and Integrated Services.
  • Serve as the company’s onsite representative for internal communications.
  • Assist in scheduling project meetings and internal coordination.
  • Prepare and issue project status reports for the client and other departments including GIS, Acquisition, etc.
  • Provide alignment between shared services, land services and technical services.
  • Support RD and RMs to order necessary hardware for field.
  • Support field personnel regarding company IT.
  • Assist in IT asset tracking.
  • Assist in setting up project kick-off meetings and subsequent conferences.
  • Understand scope of work and project objectives.
  • Manage the project dashboard, communicating potential cost overruns, scope changes, and risks with project managers timely.
  • Review invoices and communicate concerns with PMs and Managing Directors.
  • Prepare and issue overall project reporting to managers per client deliverables and performance goals.
  • Work proactively with other departments to facilitate project execution.
  • Support RM to track project budget actual cost.
  • Assist with approving time and expenses for field employees.
  • Assist with project cost controls and verification of accurate invoices.
  • Coordinate with client coordinators to collect past‑due invoices.
  • Assist in scheduling client meetings, lunches, dinners.
  • Support marketing in identifying potential events and organizations.
  • Assist RD and RMs in preparing RFPs and formal estimates.
Required Qualifications
  • Associate's degree and minimum 1 year of experience in the right-of-way industry.
  • Strong knowledge of technology processes including Microsoft Office and Outlook.
  • Strong organizational, communication, and written skills.
  • Ability to work autonomously and collaborate fully as a team.
  • Attention to detail, strong planning, organization, and time management skills.
  • Ability to work in a team environment and assume additional responsibilities.
  • Ability to maintain regular attendance as per work schedule; may require adjusted hours and overtime.
  • Ability to comply with applicable laws, regulations, and company policies and procedures.

  • Spends 100% of the time in an office environment.
