Job summary

deepsense.ai is seeking a Revenue Operations Coordinator to own the operational engine behind how we sell, with HubSpot as the system of record and reporting that keeps pace with evolving questions.

You will work with Business Development, marketing, finance and delivery leads, automate processes with AI agents, and build scalable documentation and workflows.

Qualifications

  • 2–5 years of hands-on experience in revenue operations, sales operations or business operations.

Responsibilities

  • Owning the sales process end to end: opportunity intake, qualification, proposal and review gates, handoff to delivery.

  • Keeping sales process documentation current as the process evolves.
  • Owning HubSpot as the system of record: pipelines, deal stages, properties, associations and lifecycle definitions.
  • Treating data quality as a standing metric, not a periodic cleanup: defining what “clean” means, measuring it and chasing it.
  • Building and maintaining workflows, automations and integrations, and retiring the ones that no longer earn their keep.
  • Being the person the team asks when they don’t know how something should be logged, and the person who decides the answer.
  • Running the recurring reporting cycle: pipeline reviews, monthly marketing leads reporting, and quarterly client and board inputs.
  • Preparing forecast inputs leadership can rely on, and being able to explain any number in them.

Job description

About deepsense.ai

At deepsense.ai, we build AI solutions, but we also help shape how companies around the world use them. We work with global organizations such as Johnson & Johnson, Google, Sky, and Docplanner on applied AI, machine learning, GenAI, data, MLOps, and production‑grade AI systems. We also work end‑to‑end, leveraging partnerships with leaders like OpenAI, Anthropic, Google Cloud, and AWS. Our commercial team (business development, marketing and GTM operations) turns that expertise into new clients, new projects and a pipeline that keeps growing. Our commercial motion works, and we’re already well into automating it. The direction is set, the first automations are live, and it’s going well. Now we’re looking for a Revenue Operations Coordinator who will take full ownership of running it and keep pushing it further.

Your role as Revenue Operations Coordinator

You’ll own the operational engine behind how deepsense.ai sells: the sales process first, then HubSpot as a properly owned system of record, and reporting that keeps pace as the questions we ask change.

Let’s be honest about the shape of the job. It’s roughly 70% running operations and 30% improving how they run, and the day‑to‑day comes first: real time in HubSpot, a monthly cycle that has to be right every month, and following up with Business Development executives on deals that need updating. Your influence comes through process and systems, not pitching or client work.

The people who do best here are comfortable with recurring work and take some pride in it running flawlessly. They also tend to notice when something has been done manually for the third time, and go and fix it.

You’ll report to the Head of GTM and work daily with Business Development executives, marketing, finance and delivery leads.

What makes this role stand out

You’ll take over an established function and run it as your own: not starting from zero, not inheriting a mess.

You’ll have real decision rights. HubSpot configuration, report structure, documentation and the next improvement are yours to call.

You’ll automate your own job away, with AI agents included, in a company that builds them for a living and will back you.

You’ll work directly with commercial leadership, with short decision paths and no layers to route around.

You’ll grow by scope: more of the revenue engine over time, tooling ownership and budget, and eventually people if you want them.

Responsibilities
  • Owning the sales process end to end: opportunity intake, qualification, proposal and review gates, handoff to delivery.
  • Driving process adherence: spotting a skipped stage or a gate that got waved through, and fixing the cause rather than the record.
  • Building reports that change decisions, and retiring the ones nobody reads.
  • Finding the repetitive, error‑prone parts of our commercial operations and removing them through better process design, automation or AI agents.
  • Evaluating and proposing tools, and running the implementations you propose.
  • Writing down what you build, so it survives you being on holiday.

You must have2–5 years of hands‑on experience in revenue operations, sales operations or business operations, as the person who built and maintained things, not the person sitting next to them.

A real sense of ownership. When something in your area breaks, goes stale or slips, you treat it as yours to fix, without waiting to be asked or handing it back up. This matters most, and we’ll ask about it: what you took on that nobody assigned you, and what you fixed that you could have escalated.

Genuine care about getting details right. In this role, quietly wrong numbers do more damage than late ones.

Ability to change other people’s habits without having authority over them. Beautiful documentation that sales ignores is a failed project; we’ll ask for a specific example.

Hands‑on CRM administration experience: HubSpot ideally, Salesforce or similar is fine if you’re ready to switch. Expect questions about what you configured, why, and what broke.

Experience building automations or AI agents for internal operations (n8n, Make, Zapier, scripts, LLM‑based tooling: any of it counts).

Process documentation that other people actually followed.

Excellent written and spoken English, as you’ll use it daily, including in materials for clients and leadership.

Polish for day‑to‑day team communication.

You may haveA track record of reporting someone acted on. HubSpot native, Sheets, SQL or BI: the tool matters far less than whether a report of yours ever changed a decision.

Experience with marketing operations as well as sales.

We offer

A market‑aligned salary range. The final rate depends on your experience, skills and the level of ownership you can take in the role.

A function with real momentum behind it: a working system to take over, and the latitude to reshape it rather than just keep it running.

An AI company that will actually back you in automating your own job away, with internal tooling, agents, and the people who build them for a living.

Direct access to the commercial leadership of the company. Short decision paths, no layers to route around.

Growth by scope, not by escape: more of the revenue engine over time (marketing operations, partner operations, delivery handoff), tooling ownership and budget, and eventually people if you want them.

Remote‑first, flexible work setup, plus offices and co‑working spaces in most of the biggest cities in Poland, so you can work as you like.

Get private medical care and a Multisport card.

Use our company library, attend onsite English lessons, and benefit from a dedicated training budget.

Join free team lunches and enjoy fresh fruit & snacks.

Take part in team‑building activities and holiday celebrations.

How we work

You’ll have a lot of say in how things run, and we want to be clear about where the lines sit: Yours to decide: HubSpot configuration, report structure, how processes get documented, and which improvement to make next. We’re hiring someone experienced precisely because we don’t want to be approving that work.

We decide together: changes to the sales process itself, forecast methodology and tooling spend.

Escalated: anything with pricing or contractual implications.

We’ll walk through the details during the interview.
