Retail Property Manager
Our real estate company owns and operates 60+ retail buildings across approximately ten states. We are consolidating day-to-day management of the portfolio into a single role.
The Retail Property Manager owns these properties day to day and is the single point of contact for them – leasing vacant space, directing repairs and maintenance, keeping the property books, paying the bills, coordinating annual property tax protests, and administering property insurance. The role is supported: an outside firm files property tax protests, an external CPA firm prepares tax returns, and leasing brokers cover outlying markets. This position directs and coordinates all of them.
Core Responsibilities

Own preventive maintenance and capital repairs across all properties; visit properties; direct repairs and maintenance; bid, contract, and manage outside vendors; handle tenant work orders and emergency response; oversee turnover and tenant build-out; inspect every property on a set rotation.
- Property accounting. Maintain property-level books; bill tenants for rent, CAM, taxes, and insurance; collect rent and manage delinquency; prepare annual CAM/NNN reconciliations; run the monthly close and deliver the ownership reporting package; build annual operating and capital budgets and report variances; coordinate with the external CPA on the annual review and tax filings.
- Accounts payable. Review, code, approve, and pay all property invoices; manage utility accounts and rebilling; maintain vendor records, W-9s, and certificates of insurance; verify invoices against contracted scope before payment; keep spend within budget.
- Property tax. Maintain the master calendar of assessment notices, protest deadlines, and payment dates for every jurisdiction; coordinate the annual protest with the outside firm and supply supporting data on time; track outcomes and savings; verify and confirm payment of every tax bill; forecast tax expense for budgeting and tenant recovery.
- Insurance. Maintain the property schedule and statement of values; coordinate the annual renewal with the broker; manage claims from reporting through settlement; collect and enforce tenant certificates of insurance; confirm lender insurance requirements are met.
