Retail Leasing Coordinator Job Overview

Assists the retail leasing department with leasing and marketing activities and ongoing management of tenants within the portfolio. This position helps create and manage various portfolio reports, perform comparative analysis, build and maintain relationships, and assist with both on-site and off-site showings and meetings. Additionally, this position handles administrative tasks such as meeting coordination, file maintenance, phone and email inquiries, etc.

Responsibilities And Duties
  • Assist with negotiations for new leases, amendments, renewals, relief, terminations, and other related agreements
  • Maintain spreadsheets for retail leasing comparables, lease expirations, lease tracking, VTS reports, rent maps, and retail exclusives
  • Create and maintain analyses in Excel, including comparative analysis, NPV studies, breakeven analysis, and commission calculations
  • Prepare lease proposals, summaries, approval memos, and compile market data, leasing assumptions, and budgets
  • Coordinate with finance on lender requirements, approvals, SNDAs, estoppels, and leasing updates
  • Act as liaison between departments including management, construction, legal, collections, residential leasing, and marketing
  • Work with brokers on exclusive agreements, commissions, and marketing materials
  • Process invoices and manage contract payments
  • Upload lease terms into VTS and MRI systems
  • Update listings on TFC website and CoStar
  • Maintain relationships with tenants and prospective tenants, answering questions and providing space information
  • Prepare and distribute memos
  • Handle property showings and grant access to relevant parties
  • Outreach to potential tenants and draft letters of intent
  • Maintain activity trackers and create leasing update presentations
  • Monitor and summarize data from customer feedback terminals
  • Create content and manage social media for a café brand in the portfolio
  • Coordinate operational changes for café based on feedback and sales data
  • Recommend reconfigurations of space and coordinate with architects
  • Attend development meetings and communicate space requirements
  • Use Photoshop/Adobe for marketing materials and lease exhibits
  • Coordinate lease document delivery, filing, and scanning
  • Maintain physical and electronic files
  • Coordinate meetings, site visits, and access
Qualifications
  • Bachelor's degree in real estate, finance, or related field
  • Detail-oriented with excellent Excel and analytical skills
  • Efficient in time management and multitasking
  • Excellent customer service skills
  • Desire to learn
Compensation
