Our approximately 20 employees and contractors work across the Boston, So. California, and NYC metro area.

The opportunity

We are seeking a hands‑on HR and Office Manager to own the day‑to‑day people operations and administrative systems of a small, growing company. You will manage reliable payroll inputs, onboarding, employee records, recruiting coordination, benefits administration, compliance calendars, and office workflows. You will create clear processes that managers and staff can use as the organization grows. The role reports to the CEO, partners with the Controller and bookkeeper and other functional leaders and supervises a part‑time administrative assistant. The position may grow into a full‑time role if desired and if business needs support it.

What you will do
People Operations and Employee Experience
  • Own onboarding and offboarding checklists for employees and contractors, including offer and engagement documents, new‑hire forms, required notices, orientation, access and equipment coordination, and timely removal of access at departure.
  • Maintain accurate, confidential personnel files, job descriptions, reporting lines, contact lists, and an employee and contractor roster; track probationary periods, anniversaries, training, and review cycles.
  • Help managers establish consistent hiring, goal‑setting, performance review, feedback, documentation, and employee relations practices; elevate sensitive or complex matters to the CEO and G&A team.
  • Maintain and periodically update handbook, policies, forms, templates, and internal communications, coordinate staff announcements, meetings, and practical engagement initiatives.
Payroll, compensation, and benefits
  • Coordinate payroll processing with the payroll provider, Controller, and bookkeeper: collect and check hours and approved changes, enter or transmit payroll inputs, review draft registers, resolve discrepancies, and meet payroll deadlines.
  • Track time off, sick leave, holidays, reimbursements, and applicable leave administration; reconcile records with payroll and maintain clear approval and documentation workflows.
  • Administer benefit enrollment, eligibility changes, renewals, and employee questions with brokers and vendors; reconcile contractor staff invoices. Also manage various state requirements.
  • Maintain compensation records, salary and contractor rate changes, bonus and equity administration inputs as directed, and headcount and personnel expense reports; protect access to sensitive pay data.
Recruiting and workforce planning
  • Partner with hiring managers to define roles and selection criteria, draft and post job descriptions, coordinate sourcing and screening, schedule interviews, and keep candidates informed.
  • Organize interview feedback, reference and background‑check steps where authorized, offers, and candidate records; help managers forecast staffing needs and maintain a practical hiring pipeline.
Compliance and risk management
  • Maintain a multi‑state compliance calendar and coordinate required employer registrations, new‑hire reporting, labor notices, wage and hour practices, leave and accommodation processes, training, record retention, and annual filings with payroll providers and outside counsel.
  • Track where personnel work and flag state‑specific requirements to the CEO; support proper documentation and review of employee versus independent contractor arrangements with qualified advisers.
  • Coordinate workplace safety, incident reporting, workers compensation administration, and related.
  • Respond to routine employment and benefit inquiries promptly and discreetly; seek legal or specialist guidance on disputes, protected leave, accommodations, terminations, and unfamiliar jurisdictional issues.
Office management and administrative operations
  • Supervise and prioritize the part‑time administrative assistant’s work; establish ownership, recurring checklists, service standards, and a shared calendar for administrative deadlines.
  • Coordinate virtual and occasional in‑person meetings, travel and meeting logistics, supplies, equipment inventory, shipping, vendors, and facilities needs for a distributed team.
  • Maintain orderly contracts, subscriptions, business records, shared drives, and access permissions in coordination with finance and IT; obtain approvals before commitments and track renewals and costs.
  • Improve workflows using appropriate HR, payroll, document, and project tools; build simple dashboards for hiring, onboarding, open tasks, and upcoming deadlines.
What you bring
  • Bachelor’s degree in human resources, business administration, organizational management, or a related field, or equivalent directly relevant experience.
  • At least seven years of combined HR and office or business administration experience, including at least two years independently managing a function or supervising others; experience in a private organization of roughly 10 to 50 people.
  • Hands‑on experience coordinating payroll, benefits, recruiting, onboarding and offboarding, employee files, and HR compliance across multiple states.
  • Strong knowledge of practical HR processes and the judgment to recognize when to consult payroll, benefits, tax, or employment law specialists.
  • Proficiency with payroll and HR systems (ADP experience is a plus), Microsoft 365 or Google Workspace, spreadsheets, shared document systems, and video meetings; able to learn new tools quickly.
  • Clear writing, careful recordkeeping, sound prioritization, and a service‑minded approach to working with executives, managers, employees, contractors, and external vendors.
  • High discretion with personal and compensation information; comfortable taking ownership, building structure from scratch, and completing routine details reliably.
  • Experience in life sciences, consumer health, healthcare, or regulated products is helpful; HR certification such as SHRM‑CP, SHRM‑SCP, PHR, or SPHR is a plus.
Location, schedule, and compensation

This is a remote, approximately 15‑hour‑per‑week contract position for a Southern California resident only; Orange County, CA is preferred. The schedule is flexible, with availability for coordination during 8:30 a.m. to 5:00 p.m. PT, Monday through Friday. Attendance at the Tuesday management meeting from 1:30 to 3:30 p.m. Pacific Time is required. Occasional in‑person company meetings are expected, approximately once per quarter, with advance notice.

This is a 1099 Consultant position. Compensation is $5,000 per month. A long‑term equity incentive package may be offered after successful completion of 100 days, subject to company approval and the applicable award terms. The scope, classification, and working arrangement will be confirmed in the engagement agreement. Expansion to full time is a potential option.

Working relationship

The HR and Office Manager reports to the CEO and works with company leaders, the Controller, Bookkeeper, Payroll and Benefits providers, and outside advisers. The part‑time administrative assistant reports to this position.
