Job summary

A Helping Home LLC in Pittsburgh seeks a Residential Program Supervisor (IDD) to oversee daily operations of licensed residential homes for individuals with IDD. The role involves supervising DSPs, coordinating programming, managing schedules and documentation, and driving ISP-aligned outcomes.

This hands‑on leadership position requires experience in staff development, quality assurance, and compliance, with collaboration across agency leadership and IDT partners.

Qualifications

  • Minimum 5 years direct support experience with individuals with intellectual disabilities and/or autism/IDD.
  • Minimum 3 years supervisory or management experience in a residential IDD setting.
  • Strong working knowledge of residential operations, ISP implementation, staff supervision, and compliance requirements.
  • Demonstrated ability to lead teams, manage schedules, and maintain service quality under shifting priorities.
  • Valid Pennsylvania Driver’s License
  • Ability to pass required background checks and clearances.

Responsibilities

  • Provide continuous operational leadership for assigned residential homes to ensure safe, consistent, high‑quality service delivery.
  • Ensure supports are delivered in accordance with each ISP and promote meaningful outcomes across daily living, communication, social, vocational, and community integration domains.
  • Develop and maintain structured routines and program schedules that support independence, skill‑building, and regular community participation/outings.
  • Coordinate cross‑setting skill development between the home and community to reinforce learning and consistency.
  • Proactively plan and coordinate medical appointments, follow‑ups, treatments, and health‑related supports.
  • Supervise DSP Leads and DSPs, including documented bi‑weekly 1:1 supervision, coaching, and performance evaluations.
  • Recruit, interview, select, and onboard staff for assigned homes; facilitate strong site‑level orientation and role modeling.
  • Develop, monitor, and adjust staffing schedules to ensure coverage, maintain ratios, and maximize service delivery.
  • Review and approve timesheets and schedule changes; coordinate coverage and cover shifts as needed to ensure uninterrupted supports.
  • Support performance improvement and follow through with corrective or disciplinary action as directed.
  • Plan, facilitate, and document staff meetings; ensure timely communication of operational updates and expectations.
  • Coordinate and monitor required staff training, including ISP implementation and health and safety needs.
  • Ensure ongoing staff competency, training compliance, and documentation of trainings.
  • Ensure accurate documentation across programs, including ISP notes and incident documentation.
  • Maintain proficiency in HCSIS and ensure documentation meets standards.
  • Support licensing reviews and ensure timely completion of safety meetings and drills.

Description

A Helping Home, LLC is seeking a highly skilled, dependable Residential Program Supervisor (IDD)

to lead the daily operations of licensed residential homes serving individuals with intellectual and developmental disabilities (IDD). This front‑line leadership role ensures safe, person‑centered, and compliant services by supervising Direct Support Professionals (DSPs), coordinating programming, managing schedules and documentation, and driving meaningful outcomes aligned with each Individual’s Individual Support Plan (ISP).

This opportunity is ideal for an experienced IDD professional who excels at hands‑on leadership, staff development, quality assurance, regulatory compliance, and accountability, while working collaboratively with agency leadership and interdisciplinary partners.

Essential Responsibilities

Residential Program Leadership & Individual Outcomes

  • Provide continuous operational leadership for assigned residential homes to ensure safe, consistent, high‑quality service delivery
  • Ensure supports are delivered in accordance with each Individual’s ISP and promote meaningful outcomes across daily living, communication, social, vocational, and community integration domains
  • Develop and maintain structured routines and program schedules that support independence, skill‑building, and regular community participation/outings
  • Coordinate cross‑setting skill development between the home and community (e.g., mealtime, toileting, communication) to reinforce learning and consistency
  • Proactively plan and coordinate medical appointments, follow‑ups, treatments, and health‑related supports

Staff Supervision, Scheduling & Performance Management

  • Supervise DSP Leads and DSPs, including documented bi‑weekly 1:1 supervision, coaching, and performance evaluations
  • Recruit, interview, select, and onboard staff for assigned homes; facilitate strong site‑level orientation and role modeling
  • Develop, monitor, and adjust staffing schedules to ensure coverage, maintain ratios, and maximize service delivery
  • Review and approve timesheets and schedule changes; coordinate coverage and cover shifts as needed to ensure uninterrupted supports
  • Support performance improvement and follow through with corrective or disciplinary action as directed
  • Plan, facilitate, and document staff meetings; ensure timely communication of operational updates and expectations

Training, Documentation & Compliance Oversight

  • Coordinate and monitor required staff training, including individual‑specific health and safety needs, ISP implementation, and best‑practice support strategies
  • Ensure ongoing staff competency, training compliance, and accurate documentation of all required trainings
  • Ensure accurate, timely, and complete documentation across assigned programs, including ISP notes, progress summaries, medical records, and incident documentation
  • Maintain proficiency in HCSIS and ensure documentation meets agency, state, and regulatory standards
  • Support licensing reviews and ensure timely completion of safety meetings, inspections, fire drills, disaster drills, and corrective actions as needed

Fiscal, Site Oversight & Interdisciplinary Team (IDT) Responsibilities

  • Monitor residential budgets and staffing patterns to control overtime within established guidelines
  • Conduct monthly site inspections to ensure homes are clean, safe, and well‑maintained; address deficiencies promptly
  • Ensure interior and exterior environments meet safety, licensing, and quality standards
  • Serve as an active member of each Individual’s Interdisciplinary Team (IDT)
  • Participate in assessments, ISP development, annual reviews, and team meetings
  • Monitor progress toward ISP goals and support timely adjustments to services as needed
  • Prepare written summaries, progress reports, and monthly operational/status reports
  • Communicate effectively with families, guardians, and interdisciplinary partners regarding progress, concerns, and outcomes
Required and Preferred Qualifications , Working Environment and Expectations

Required Qualifications

  • Minimum 5 years direct support experience with individuals with intellectual disabilities and/or autism/IDD
  • Minimum 3 years supervisory or management experience in a residential IDD setting
  • Strong working knowledge of residential operations, ISP implementation, staff supervision, and compliance requirements
  • Demonstrated ability to lead teams, manage schedules, and maintain service quality under shifting priorities
  • HCSIS proficiency or ability to learn quickly
  • Valid Pennsylvania Driver’s License
  • Ability to pass required background checks and clearances

Preferred Qualifications

  • Associate’s Degree in Human Services or a related field
  • Experience in a PA Chapter 6400 licensed residential setting
  • Strong written documentation and report‑writing skills
  • Experience coordinating training, onboarding, and on‑site coaching

On‑Call Expectations

  • Participation in a shared on‑call rotation is required
  • On‑call responsibilities are supported by agency leadership and established protocols to ensure appropriate guidance and response
