Job description

Under the general supervision of the Director of Residential Services, Division of Senior Citizen Affairs, this position is responsible for assisting residents in obtaining the services and benefits needed to maintain an independent lifestyle, including information and advocacy. The Resident Relations Coordinator empowers residents to meet their own needs through educational programs on community services or Social Security benefits while implementing new services or increasing availability of existing services to meet the needs of residents. This position addresses social and recreational needs of the senior community and assist family members and the community in understanding the changing needs of seniors as they age. This position requires a confidential relationship to the policymaker.

Performs work confidential to the Program Director.

Conducts confidential assessment of resident needs.

Advocates for residents with other public and private community organizations and communicate the progress of the individual.

Attends monthly/quarterly training and meetings pertaining to resident services.

Develops and coordinates volunteer service opportunities for frail and at-risk residents who need supportive services.

Provides education awareness to the residents and assist in providing the services and resources available.

Plans educational programs and activities for the residents to assist them in aging in place.

Coordinates transportation for residents to and from social functions, health, and educational activities.

Accommodates room visits for bed-bound residents.

Completes residential assessments based on the needs of the residents and maintains, and update secured resident files.

Completes monthly residential services report.

Processes requisitions in the governments ERP system for procurement of goods and services.

Ensures proper confidential record keeping and document retention.

Assists with time sheets.

Responds to needs of residents, staff, families, and visitors by providing immediate assistance.

Documents and reports incidents, unusual occurrences, and observations timely and accurately as required by department policies.

Assists with publishing timely monthly calendar of events.

Plans monthly and special activities for the residents.

Perform other related duties as assigned.

Associate Degree in Business Administration or a related field.

OR

High School Diploma or its equivalent and three (3) years of work experience in providing customer service, service coordination, or social services.

FACTOR 1-KNOWLEDGE REQUIRED BYTHE POSITION

Knowledge of all aspects of programs development.

Knowledge of the ERP, computers, and computer operations.

Knowledge of modern office practices and processes withproficiency in Microsoft Suites.

Knowledge of general accounting principles and arithmeticmathematicsprocesses.

Knowledge of departmental policies, rules, and regulations.

Ability to interpret and explain administrative procedures, rules, policies and apply them to resolve a wide variety of problems.

Ability to liaise within the Department, other government agencies and private sectors andmaintain collaborative partnership with VIHA.

Ability to effectively communicate inter-personally and works well in a team environment.

Ability to clearly communicate and proficient in reading and writing, grammar and.

Ability to maintain confidentiality, and integrity on personal as well as professional level.

Ability to multi-task and prioritize to meet deadlines, and attention to detail.

FACTOR 2- SUPERVISORY CONTROLS

Work is performed independently and reviewed through discussions and conferences by the Director of Residential Services.

FACTOR 3- GUIDELINES

Guidelines used are the departmental office policies, rules, regulations, and procedures.

FACTOR 4- COMPLEXITY

The incumbent performs a wide range of duties including budget planning. Demonstrates accuracy and thoroughness and monitors own work to ensure quality.Sound judgment and critical thinking are used to achieve desired outcomes.

FACTOR 5- SCOPE AND EFFECT

The purpose of work is to provide staff support to a higher-level officer allowing the supervisor more time to deal with the complex activities of the office, thereby contributing to the effective functioning of the unit.

Contacts are with co-workers, outside agencies, vendors, and the general public.

FACTOR 7-PURPOSE OF CONTACTS

Contacts are made to provide and exchange information relative to the activities of the office.
