About the Renewals Coordinator position

The Renewals Coordinator is a key member of our Venue Engagement team, responsible for managing the monthly renewal process for selected venues, maintaining positive client relationships, and ensuring accurate scheduling. You will act as a point of contact for venues, coordinating contract renewals, addressing scheduling changes, and resolving any issues that arise. With strong organizational and communication skills, you will keep our Airtable database updated, collaborate with the Venue Engagement team to meet inventory targets, and provide regular progress updates. This role is ideal for a proactive, personable individual who thrives in a fast-paced, remote environment and enjoys building lasting relationships with clients.

Our US partner operation has pioneered the conversion of over 60 US planetariums into pop-up mainstream immersive evening venues, re-imagining what a planetarium can be. Our first two immersive shows Mesmerica and Beautifica are the fastest-selling planetarium shows ever, blowing minds and mending hearts with a potency unique to the immersive medium.

Responsibilities:
  • Renew selected venues monthly as directed by Venue Engagement team
  • Maintain detailed records of all operating and past venues
  • Call and email clients to maintain a positive working relationship
  • Report any venue concerns to the VE team quickly
  • Address any scheduling changes with clients (additional added dates or cancellations)
  • Issue booking confirmations for any new dates added or deleted
  • Keep Airtable, our online shared database, updated and optimized weekly
  • Monitor monthly inventory targets and work with the Renewals Manager and Renewals Scrum Team to book dates accordingly
  • Report progress weekly and raise any concerns with available dates or venues that have been unresponsive
  • Attend weekly Renewals Scrum meetings and learn the process by which we project demand for tickets in each venue

Skills and qualifications:

  • 3-5 years of sales experience
  • Knowledge of Google software suite, especially Google Sheets
  • Knowledge of Airtable or similar relational databases preferred
  • Strong negotiation skills
  • Strong people skills: good listener, personable, and compassionate
  • Strong communication skills, both written and verbal
  • Ability to work as part of a team
  • Strong work ethic with an ability to be productive in a remote work environment
  • Need candidate to be people smart, personable, proactive and preferably extroverted
