Description

The WVU Hub at West Virginia University is currently accepting applications for a Student Services Coordinator. This position serves as the initial point of contact for students, prospective students, families, and alumni, providing assistance through the WVU Hub, which connects to financial aid, scholarships, student employment, registrar, admissions, and student accounts and revenue services. The role involves helping, counseling, and resolving complex customer questions and issues using listening, fact gathering, decision-making, and analytical skills in a courteous manner as part of a cross-functional team. It may also support processing functions in home offices. This position is crucial for student recruitment and retention, acting as the main contact for questions regarding the entire matriculation process. The individual must operate effectively in a fast-paced, high-stress environment, providing accurate information professionally and swiftly using various tools, including NSLDS, COD, FAA, WV FAMS, and Parent Portal. This role is remote (work from home).

What you'll do:
  1. Assist students via the WVU Hub with financial aid, loans, scholarships, student employment, billing, housing, registration, student health insurance, and admissions, primarily via telephone and email.
  2. Handle inquiries and specific student issues by providing information and counseling, referring to other staff or departments as needed.
  3. Process inquiries and disseminate information from student information systems related to financial aid, student accounts, registration, and related documentation, including posting payments, analyzing awards, and verifying loans and scholarships.
  4. Understand and interpret WVU policies and procedures, ensuring proper communication to students, parents, and other stakeholders, with thorough knowledge of policies across various departments.
  5. Assist students and other constituencies in understanding financial aid and account records, advising on payment options.
  6. Review confidential documents for accuracy and proper completion.
  7. Analyze student eligibility for aid through federal, state, and institutional websites.
  8. Manage correspondence, both incoming and outgoing, including letters, forms, emails, brochures, and web content.
  9. Verify student identity and FERPA documentation before sharing secured information.
  10. Respond to telephone inquiries about financial aid, registration, and payments, logging each interaction.
  11. Make outreach calls to students and parents regarding outstanding requirements or payment notifications.
  12. Maintain professionalism and judgment in a high-volume, emotional environment.
  13. Alert management to critical issues requiring immediate attention.
  14. Support home offices with processing tasks such as verification, appeals, document scanning, scholarship requests, course enrollment updates, and transcript processing, involving analysis and decision-making.
  15. Review student records for compliance with federal, state, and institutional policies, making necessary database corrections.
  16. Participate in cross-training across financial aid, student accounts, registrar, admissions, and insurance functions, including training new staff.
  17. Engage in ongoing professional development to stay current with regulations and policies.
  18. Assist WVU Hub leadership with special projects, process improvements, policy development, and team coordination.

Pay Grade: 12

Length of Assignment: 8.5 Months

Work Hours: 37.5 Hours per week
