About The Role
Our client is a nationally recognized healthcare organization dedicated to connecting volunteer donors with patients in need of life-saving cell therapy and transplant treatments. As a Scheduling Specialist, you will play a critical role in coordinating donor collection appointments that support time-sensitive patient care needs.
This position works closely with internal care teams and a nationwide network of collection centers to ensure donor collections are scheduled efficiently, accurately, and according to clinical priorities. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities in a fast-paced healthcare environment.
Job Description
The Scheduling Specialist is responsible for coordinating hematopoietic progenitor cell (HPC-A, HPC-M) and mononuclear cell (MNC-A) donor collections. This role serves as a key liaison between internal specialists and external collection centers to facilitate scheduling activities, resolve conflicts, and support positive donor and patient outcomes.
Responsibilities
- Schedule donor collection procedures in accordance with established timelines, service metrics, and patient care priorities.
- Coordinate with internal workup specialists and external apheresis and collection centers to confirm appointment availability and collection dates.
- Prioritize scheduling requests based on clinical urgency while considering donor preferences whenever possible.
- Manage multiple concurrent scheduling requests and address conflicts through effective problem-solving and collaboration.
- Communicate scheduling details clearly and accurately to all stakeholders.
- Build and maintain strong professional relationships with collection centers and healthcare partners across a national network.
- Track, update, and manage scheduling information using various business and communication systems.
- Support operational goals by ensuring scheduling activities meet established quality and performance standards.
Qualifications
Required
- Previous experience in scheduling, coordination, administrative support, or a related operational function.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent verbal and written communication skills.
- Demonstrated problem-solving and conflict-resolution abilities.
- Proficiency with Microsoft Office applications, including Outlook and Excel.
- Experience working with business systems and collaboration tools such as Salesforce, Asana, SharePoint, OneNote, or similar platforms.
- Ability to work effectively with cross-functional teams and external partners in a fast-paced environment.
- High attention to detail and commitment to accuracy.
Preferred
- Experience in healthcare scheduling, patient services, clinical operations, transplant services, or donor coordination.
- Knowledge of apheresis, cellular therapy, blood or marrow donation processes, or collection center operations.
- Experience supporting time-sensitive healthcare workflows.
- Familiarity with healthcare-related performance metrics and service-level expectations.
- Associate's or Bachelor's degree in Healthcare Administration, Business, Communications, or a related field.
