Job summary

Pearl Talent is seeking an Operations Specialist to own data and supplier coordination for our enterprise procurement platform. The role blends 60% Excel-based data work with 40% outreach to US-based suppliers, operating within US Eastern hours while based in LATAM.

You will own client accounts end-to-end within 90 days, maintain data integrity, and support end-to-end deployment of sourcing events for enterprise customers. This is fully remote and globally connected.

Qualifications

• 1–2+ years Excel in a professional setting, with pivot tables, VLOOKUP, XLOOKUP, INDEX MATCH, and IF formulas.
• Experience cleaning, normalizing, and validating datasets with formula-based methods.
• Experience building structured, replicable Excel models.
• Experience outbound calls to US-based suppliers.
• C1+ English (CEFR) for direct phone communication with US suppliers.
• Located in LATAM and able to work within one hour of US Eastern Time.

Responsibilities

Work Schedule: Eastern Time | Monday–Friday, aligned to US Eastern business hours (8:45 AM ET daily team standup; must work within ±1 hour of New York time)

A fast-growing AI company in the procurement technology space is looking for an Operations Specialist to own the data and supplier-coordination layer that keeps its platform delivering for enterprise customers.

The company is founder-led, lean, and in an active deployment phase — onboarding new enterprise clients and running real-world sourcing events. Often described as "Palantir for procurement," its deployment team blends tactical execution with customer advisory work, and this hire exists to own the execution core so senior team members can stay at the strategic level.

Day-to-day, the role is roughly 60% Excel-based data work — cleaning, structuring, and validating supplier, product, and quantity data so sourcing events run without error — and 40% phone and email follow-up with existing US-based suppliers to keep them engaged on the platform. Success means owning a client account end to end within 90 days, running the back-end work and communication independently.

Core Responsibilities

Data Cleaning & Validation

• Clean, structure, and validate supplier, product, and quantity data using Excel
• Apply VLOOKUP, XLOOKUP, INDEX MATCH, pivot tables, and conditional formulas to organize datasets
• Sanity-check data for missing values, inconsistent formatting, and errors before modeling begins
• Build formula-driven models without hard-coded values, ensuring datasets are replicable
• Onboard validated customer data onto the client's deployment platform

Supplier Communication & Follow-Up

• Call US-based suppliers who haven't responded on the platform to re-engage them
• Deliver a consistent daily outreach script and improve call quality with each iteration
• Track supplier response status and elevate persistently to prevent dormant accounts
• Coordinate outreach priorities with the deployment team via Slack

Deployment & Operations Support

• Maintain and update supplier and product records across active sourcing events
• Support end-to-end deployment of sourcing events for enterprise customers
• Flag process gaps and recommend operational improvements proactively
• Take on expanded account ownership as tenure and performance progress

Must-Have

• 1–2+ years of hands-on Microsoft Excel experience in a professional work environment (not coursework or training), including pivot tables, VLOOKUP, XLOOKUP, INDEX MATCH, and IF formulas
• Demonstrated experience cleaning, normalizing, and validating datasets using formula-based methods (no hard-coded values), including sanity-checking data quality and comparing extracted data against source documents
• Experience building structured, replicable Excel models that others can follow
• Experience conducting outbound phone calls to US-based suppliers, vendors, or business contacts in a professional capacity
• C1+ English (CEFR) — spoken and written — for direct phone communication with US-based suppliers
• Located in LATAM and able to work within one hour of US Eastern Time

Nice-to-Have

• 1–2 years in management consulting or at a boutique advisory firm
• Hands-on procurement or supply chain experience (tactical purchasing, operational supplier relationship management)
• Python for data manipulation or automation
• Prior exposure to e-procurement or sourcing platforms
