Job summary

Collectors Holdings, Inc. seeks a Real Estate Project Coordinator to support planning, execution and day-to-day management of commercial real estate projects and portfolio operations.

This hybrid role collaborates with internal teams, landlords, brokers, consultants, vendors, and contractors from our Santa Ana, CA office. You will report to the Senior Director, Global Real Estate and will work with a team of Real Estate Project Managers to ensure timely, accurate delivery across lease

Qualifications

• 3+ years of real estate administration, coordination, facilities or related experience.
• Strong organizational skills with ability to manage multiple priorities.
• Excellent written and verbal communication skills.

Responsibilities

• Coordinate real estate projects including lease transactions, construction tenant improvements and new site openings.
• Maintain lease administration records and landlord communications.
• Organize digital files, site documentation and floor plans.
• Prepare reports, presentations, and summaries on portfolio activity and project status.
• Collaborate with Finance, Legal, IT, People, and external vendors.
• Schedule meetings, prepare agendas, track actions, and drive next steps.
• Monitor project schedules, budgets, risks, and deliverables.
• Assist with invoices, budget tracking, POs, and vendor onboarding.
• Support project closeout and financial reconciliation.
