We work with nonprofits, government agencies, and federally funded organizations to ensure compliance, strengthen operations, and drive meaningful community impact.

Position Summary

C-FACTS is seeking a skilled Remote Finance & HR Administrator with expertise in QuickBooks Online and Paychex to oversee internal finance functions, payroll, benefits coordination, and HR support. The ideal candidate will be experienced in managing multi-state payroll and benefits for a fully remote team and demonstrate advanced proficiency in Microsoft Office 365, especially Excel.

Key Responsibilities

Financial Management (Primary Focus)

  • Manage daily bookkeeping and accounting using QuickBooks Online.
  • Reconcile accounts, manage the general ledger, and prepare monthly financial reports.
  • Track budgets and oversee invoicing and grant-related financial reporting.
  • Maintain internal financial controls and ensure regulatory compliance.

Payroll & Benefits Administration

  • Process bi-weekly multi-state payroll using Paychex, ensuring compliance with tax and labor regulations in at least 10 states.
  • Coordinate employee benefits, including enrollments, updates, and terminations.
  • Serve as the primary point of contact for benefits questions and administration.
  • Maintain accurate payroll records and handle discrepancies promptly.

HR & Administrative Support

  • Support HR processes such as onboarding, virtual personnel file management, and employment compliance.
  • Assist with scheduling, internal reporting, and secure document storage.
  • Provide administrative support to the leadership team and ensure smooth virtual operations.

Qualifications

  • Expert-level proficiency in QuickBooks Online.
  • Experience with Paychex, including multi-state payroll processing.
  • Knowledge of state-specific labor and payroll regulations.
  • Strong Excel skills (pivot tables, VLOOKUP, formulas, and templates).
  • Ability to prioritize tasks in a remote environment with attention to detail and confidentiality.
  • Proficient in Microsoft Office 365 (Word, Excel, Outlook, Teams, OneDrive).

Education & Experience

  • Bachelor’s degree in Accounting, Finance, HR, or a related field.
  • 10+ years of experience in finance, payroll, and HR administration.
  • Experience working in or with nonprofits or federally funded organizations is a plus.
