Zirtual is a work-life balanced company that offers clients experienced, educated remote executive assistants for their personal and professional needs. Our US-based Virtual Assistants (VA) strive to meet and exceed client needs and expectations.

The Virtual Assistant is a vital member of Zirtual. The VA is the main point of contact with clients and will work independently with the clients. The VA will receive support from their assigned Account Supervisor, who will assist with client relationship management, plan modifications, questions, and provide feedback on quality and delegation issues.

This role requires the ability to be on the phone and make outbound calls daily.

The VA will provide a high-level professional administrative service by working on tasks and projects as assigned by the client, ensuring they are executed on time and to the highest quality. Responsibilities include being the main point of contact for clients, understanding their needs and preferences, and maintaining proactive communication. Virtual Assistants are expected to be available during agreed-upon business hours, send weekly usage reports, respond within a two-hour window, and follow Zirtual's best practices.

Essential Duties And Responsibilities
  • Outbound Calling: Calling warm leads, data collection, scheduling.
  • Project management and organization: Facilitating on-time project and goal completion.
  • Personal and business calendar management: Scheduling and coordinating appointments, monitoring calendars for conflicts.
  • Research: Conducting research on events, travel, projects, etc., and providing results within established time frames.
  • Purchases: Ensuring specifications meet client satisfaction, expense reporting.
  • Administrative tasks: Inbox management, transcription, correspondence, data entry.
  • Email inbox management: Responding to and organizing emails per client guidelines.
  • Social media management and marketing.
  • Attend meetings virtually: Draft agendas, take minutes, provide follow-up.
  • Maintain clear communication about task status, ask for support when needed, and track billable hours accurately.
Requirements

Desired Skills and Attributes: Clear communication, organization, multitasking, attention to detail, stress management, interpersonal skills, internet savvy.

Qualifications: Associate's or Bachelor's Degree, or minimum 7 years as an Executive Assistant to C-level executives, 4+ years administrative experience, proficiency with Google Suite, Microsoft Office, task management tools, and optional familiarity with Slack, CRM platforms, expense reporting, travel management, and social media tools. Reliable internet, computer, phone, and typing speed of 50 WPM required. Availability during PST or EST business hours.

Compensation
  • Paid as a 1099 contractor, with monthly earnings typically between $1500-$3800 depending on client workload. Outbound calling plans are paid at a higher rate.
