Job description

Zirtual is a work-life balanced company that offers clients experienced, educated remote executive assistants for their personal and professional needs. Our US-based Virtual Assistants (VAs) strive to meet and exceed client needs and expectations.

The Virtual Assistant is a vital member of Zirtual. The VA is the main point of contact with clients and works independently with them. They receive support from an assigned Account Supervisor, who assists with plan modifications, questions, feedback, delegation issues, and more.

The VA provides high-level professional administrative services by working on tasks and projects assigned by the client, ensuring timely and high-quality execution. They are responsible for understanding each client’s needs and preferences, maintaining proactive communication, and being available during agreed-upon business hours. VAs send weekly usage reports, respond within two hours, maintain detailed client profiles, and adhere to Zirtual's best practices.

Essential Duties and Responsibilities
  • Facilitate on-time project and goal completion
  • Manage personal and business calendars, coordinate appointments, monitor for conflicts
  • Conduct research on events, travel, projects, etc., and provide results within established timeframes
  • Handle purchases, ensure specifications meet satisfaction, manage expenses
  • Perform administrative tasks such as inbox and calendar management, transcription, correspondence, research, data entry
  • Manage email inboxes, respond and organize emails per guidelines
  • Assist with social media management and marketing
  • Attend virtual meetings, draft agendas, take minutes, and follow up

The VA must communicate clearly about task status, acknowledge assignments promptly, understand due dates, notify clients of delays, and track hours accurately. They should be receptive to feedback and reach out for support when needed.

Qualifications:

  • Associate’s or Bachelor’s Degree, or minimum 5 years experience as an Executive Assistant to C-level executives
  • At least 4 years of administrative experience
  • Preferred experience with C-level executives
  • Proficiency with Google Suite, Google Calendar, and Microsoft Office
  • Experience with task management tools like Trello or Asana
  • Preferred experience with Slack, CRM platforms (Salesforce, Hubspot, Zoho), expense reporting (QuickBooks, Expensify), travel management (Concur), social media tools (Hootsuite, WordPress), and AI tools
  • Reliable internet, computer, phone, and typing at least 50 WPM with accuracy
  • Availability during PST or EST business hours, Monday-Friday
Benefits
Compensation
  • Paid as a 1099 independent contractor, with monthly earnings ranging from approximately $1500 to $3800 depending on client workload. Revenue sharing can increase after six months based on plan utilization and client retention.
