Job summary

PROVIDENCE IN-HOME CARE SERVICE is seeking a highly organized and detail-oriented Clinical Data & Records Specialist to join our remote administrative team. This role maintains accuracy and integrity of records and supports day-to-day operations.

Working remotely, you will collaborate with leadership to ensure HIPAA compliance, proper documentation, and timely reporting, helping caregivers deliver exceptional care to clients. Strong data management and communication skills are essential.

Qualifications

• High school diploma or GED required; associates in healthcare admin, HIM, or related field preferred.
• Minimum 2 years in healthcare admin, medical records, health information management, data management, or related field.
• Strong attention to detail with exceptional accuracy.
• Proficient in Microsoft Office and Google Workspace.

Responsibilities

• Maintain accurate electronic records for clients, caregivers, and agency operations.
• Review incoming documentation for accuracy, completeness, and compliance with agency standards.
• Update client and employee records as new information becomes available.
• Organize and maintain secure digital filing systems.
• Monitor records for missing documentation and coordinate follow-up with departments.
• Enter and verify data in agency databases and software.
• Audit records for inconsistencies and incomplete documentation.
• Prepare reports, spreadsheets, and operational summaries for leadership.
• Maintain documentation supporting daily operations and regulatory compliance.
• Assist with document scanning, indexing, and retention.
• Support onboarding documentation and employee record maintenance.
• Respond to internal requests for documentation in a timely manner.
