Description

As a key member of the development and relationship team, the Relationship Services Coordinator ensures an exceptional experience by coordinating activities behind the scenes. This position thrives at the intersection of client service, operations, and relationship support, managing multiple priorities while maintaining exceptional accuracy, responsiveness, and attention to detail. This role serves as a trusted internal partner to relationship managers and client experience staff, coordinating fund activities, monitoring transactions, tracking grant activity, and supporting administrative aspects of high-value relationships.

The position primarily works out of the Kansas City, MO, office and reports to the Director, Relationship Services. This hourly, nonexempt employee works in the office Monday – Friday with the ability to work on a hybrid schedule after a successful training period. To support donors during our busiest period of the year, this position requires full availability during the fourth quarter. While major holidays are observed, time off during this period is limited due to critical year-end responsibilities.

Requirements
Relationship & Fund Coordination
  • Support relationship managers and client experience staff by coordinating activities for high-value donor, family office, fund member, and advisor relationships.
  • Assist with preparing correspondence, reports, and presentation materials while managing follow-up activities and maintaining accurate records.
  • Coordinate meetings, materials, and follow-up activities for fund members, advisors, and prospect interactions.
Fund Administration & Quality Control
  • Support the setup of new high-asset, high-value charitable funds by coordinating documentation, routing approvals, and maintaining progress through established workflows.
  • Review documents and supporting materials for accuracy, completeness, and compliance prior to processing.
  • Track fund setup activities and communicate status updates to stakeholders.
  • Assist with maintaining data integrity across the CRM and related systems.
Grant & Transaction Support
  • Assist with grant tracking, reporting schedules, and follow-up activities through completion.
  • Support relationship teams in responding to grant-related questions and requests.
  • Coordinate documentation, approvals, and communications required for complex grantmaking transactions.
Experience
  • Education & Experience: Associate's degree or equivalent and at least three years of related experience; an equivalent combination of education and experience will be considered. Demonstrated experience providing administrative, client service, relationship management, financial services, philanthropy, or operational support.
  • Communication & Relationships: Excellent written and verbal communication skills, including the ability to build professional relationships and communicate effectively with a variety of internal and external stakeholders. Ability to maintain confidentiality and adhere to privacy and data governance standards, while maintaining a strong customer service orientation.
  • Operational Agility: Exceptional organizational skills, strong attention to detail, analytical thinking, and the ability to manage multiple priorities while maintaining a high level of accuracy. Self-motivated, reliable, and able to work independently and collaboratively across teams.
  • Technical Aptitude: Demonstrated experience managing and maintaining data within database systems, with a strong commitment to accuracy and data integrity. Ability to quickly learn new systems and reporting tools; Salesforce and Adobe Acrobat experience preferred.
  • Operational and Financial Acumen: Ability to work with financial information, transactions, and operational workflows while coordinating activities across multiple stakeholders, monitoring progress, resolving issues, and ensuring work is completed accurately and on time.
Physical Requirements
  • Office & Computer Work: Ability to work regularly at a computer terminal in a fast-paced environment with frequent interruptions.
  • Noise & Communication: Able to work in an office with moderate noise levels. Ability to communicate and interpret detailed information effectively.
