Employment Opportunity for the Position of Registrar’s Office Coordinator

Nebraska Wesleyan University seeks an individual to serve as the Registrar’s Office Coordinator. The Registrar’s Office Coordinator is responsible for the frontline operation of the Registrar’s Office. This position staffs the front office and oversees office communication (phone, email, fax, mail), supervises student workers, creates and maintains course schedule for registration for all student types, coordinates transcript ordering process, responds to degree and enrollment verification requests, processes registration requests and major/minor declarations, and coordinates all front office operations.
The Registrar’s Office Coordinator is a full-time, non-exempt, year-round position. Responsibilities
- Maintain a current understanding of academic policies, procedures, and processes related to student records and professionally communicate these to faculty, students, and staff.
- Maintain accurate student academic records for permanent records retention.
- Provide front line support for Registrar’s Office including telephone, general registrar email account, mail, and front counter, responding to student, faculty, staff, and general public requests and inquiries.
- Enter class schedule and monitor changes for all NWU course offerings (undergraduate, graduate, and Wesleyan Honors Academy), verify offerings comply with schedule grid requirements, resolve room scheduling conflicts, update registration and schedule information. Oversee the room scheduling process and corresponding software.
- Oversee transcript ordering process for current and former students. Work closely with National Student Clearinghouse to ensure electronic transcript process is operating effectively. Responsible for money received for transcripts and deposits to Business Office.
- Maintains accuracy of transfer credit database and degree pathways within the TES platform
- Maintains up-to-date knowledge of new and emerging TES features and functionality to ensure NWU’s utilization reflects current capabilities of the platform.
- Build Registrar Offices forms in SoftDocs.
- Collaborating with CSIT on creating workflows and troubleshooting Registrar Office SoftDocs forms.
- Assist SCO with VA enrollment certifications, compiling documents for compliance visits, monitoring student enrollments.
- Respond to degree and enrollment verification requests. Update degree enrollment verification information with National Student Clearinghouse.
- Process forms including drop/add/withdrawal requests, petitions, medical withdrawals, exit forms, major and minor declarations.
- Coordinate basic office needs (order office supplies, reconcile credit card statement, manage office printers/copiers). Maintain office policies and procedures.
- Manage Registrar’s Office graduation and commencement ceremony procedures.
- Coordinate preparation and mailing of diplomas and certificates.
Qualifications
- Minimum one year of related experience, preferably in an academic setting.
- Ability to manage multiple priorities in fast-paced office setting.
- Ability to prioritize tasks and meet scheduled deadlines while providing excellent customer service to a variety of people.
- Ability to communicate diplomatically, clearly, and effectively in order to work and build relationships with students, faculty, staff, parents, alumni, and community members.
- Demonstrated knowledge of office technologies including computer, fax machine, scanner, Microsoft Office suite (Excel, Word, Outlook).
- Ability to work effectively in a diverse community and meet the needs of diverse student populations.
- Demonstrated ability to maintain and be responsible for confidential information.
- Demonstrated ability to work with high levels of accuracy and attention to detail.
- Preferred applicants will have experience with student information systems (preferably Ellucian Colleague) and reporting software (preferably Informer).
