Job Details

We are currently recruiting a Registered Nurse for Surgery Scheduling (in‑office position) to join us in Indianapolis, IN. This is a full‑time position, Monday‑Friday, 8:00 am to 5:00 pm.

Position requires utilization of clinical knowledge to schedule appropriate procedures/surgeries per provider’s orders. The Surgical Scheduler must schedule office‑based and hospital procedures consistent with the patient’s diagnosis and procedure request. Also requires excellent customer service skills with patients, employees, and the public. The Surgical Scheduler must respond to both written and oral correspondence regarding scheduling changes/cancellations in a timely, accurate manner. Individual must be organized and manage a demanding workload with accuracy.

DUTIES AND RESPONSIBILITIES

• Schedule office and hospital‑based medical procedures for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code.
• Schedule diagnostic and imaging tests to be completed; ensure maximum efficiency of available time.
• Interface with vendor staff to ensure all necessary equipment will be on site for office and hospital‑based procedures, including scheduling with contracted anesthesia groups.
• Interface with hospital staff to ensure a cohesive working relationship in providing patient care.
• Enter notes/special instructions needed for scheduling in the electronic medical record.
• Utilize clinical knowledge when determining if an appointment is consistent with the diagnosis/indications indicated by the provider.
• Complete accurate documentation of informed consent with patients for procedures and surgeries as needed.
• Provide accurate, detailed information to patients regarding test preparations, time of scheduled arrival, and any other directional information needed; respond to patient questions appropriately.
• Confirm patient’s insurance provider and obtain or communicate need for prior authorization to appropriate parties as needed.
• Ensure patients have proper medical clearance and pre‑surgical testing as needed.
• Complete pre‑procedure phone calls and confirm appointment times with patients via telephone.
• Ensure completion of assessment for advance directive, including DNR when applicable.
• Review discharge instructions with patients and schedule proper follow‑up appointments at the time the procedure is scheduled.
• Perform all aspects of patient care in an environment that organizes patient safety and reduces the likelihood of medical/health care errors.
• Assist other members of the department as needed.
• Complete FMLA/Disability paperwork.

Qualified candidates will be required to have one year experience as a Registered Nurse, preferably in an OB/GYN setting and a degree from an accredited nursing program, a current Indiana certification as a Registered Nurse and CPR certification. Knowledge of CPT coding, lab‑specific order sets, and eCW are beneficial.
