We take pride in delivering personalized care, maintaining high-quality pharmacy services, and ensuring residents receive the medications they need when they need them.

Position Summary:

The Purchasing Manager is responsible for overseeing purchasing operations, inventory management, and vendor coordination across assigned pharmacy locations. This leadership role supervises, trains, and develops local Purchasing and Receiving Technicians while ensuring procurement activities align with company policies, budget goals, and regulatory requirements.

The primary focus of this role is to minimize out-of-stock occurrences, maintain accurate inventory records, optimize inventory flow, and support cost-effective purchasing practices throughout the organization.

Responsibilities:
Leadership & Team Management:
  • Supervise and oversee daily purchasing and receiving operations across assigned pharmacy locations.
  • Onboard, train, and develop Purchasing and Receiving Technicians on company systems, including Framework and SureCost, and established standard operating procedures.
  • Coach and mentor team members to promote accuracy, accountability, compliance, and operational efficiency.
  • Ensure purchasing and receiving activities are completed consistently and in accordance with company policies and procedures.
Inventory Management & Process Oversight:
  • Maintain appropriate inventory levels through timely replenishment and suitable pharmaceutical and supply substitutions.
  • Monitor and manage key inventory performance indicators, including out-of-stock (OOS) items, negative on-hand quantities, and deadstock.
  • Oversee inactive and purchasing zones to ensure inventory designated for immediate use, return, or redistribution is appropriately managed.
  • Coordinate biannual physical inventories, including preparation, organization of audit counting teams, and assistance with final inventory data uploads.
  • Identify opportunities to improve inventory accuracy, product availability, and purchasing efficiency across assigned locations.
Compliance & Escalation:
  • Immediately report significant inventory discrepancies and concerning trends to Inventory Management for review and guidance.
  • Identify and elevate issues that may negatively affect purchasing costs, inventory integrity, or operational performance.
  • Ensure purchasing and receiving activities follow company policies, established procedures, and applicable regulatory requirements.
Financial Reconciliation & System Accuracy:
  • Audit and reconcile purchasing data between SureCost, or similar contract management software, and Framework, or the applicable pharmacy management system.
  • Ensure receipt verification is completed accurately and promptly in SureCost by pharmacy location staff.
  • Investigate and resolve incorrect pack-size receipts in coordination with local inventory teams.
  • Ensure facility return errors are properly documented, including incorrect National Drug Codes (NDCs), incorrect quantities, and profiled or deleted items.
  • Communicate discrepancies promptly and follow through to ensure appropriate corrections are completed.
Reporting & Analysis:
  • Review, analyze, and take corrective action based on purchasing and inventory reports.
  • Communicate findings clearly to local Purchasers and Inventory Management, assigning follow-up actions and monitoring resolution.
  • Budget Reports: Monitor purchasing spend against dispensed value to support budget accuracy and control spending variances.
  • Owes Reports: Track outstanding owes and work with local Purchasers to ensure timely resolution.
  • Deadstock Reports: Identify slow-moving and non-moving inventory and coordinate vendor returns or redistribution between locations.
  • Receipt Verification Reports: Confirm that receipts are entered, approved, and verified accurately and promptly in SureCost.
  • SureCost vs. Framework Reports: Investigate system discrepancies, coordinate corrections, and maintain accurate purchasing and inventory data.
Qualifications:
  • Previous experience in purchasing, inventory management, pharmacy operations, or a related field required.
  • Previous supervisory or team leadership experience preferred.
  • Experience with pharmacy purchasing and inventory management systems, such as Framework and SureCost, preferred.
  • Strong understanding of inventory control, purchasing processes, financial reconciliation, and reporting.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong attention to detail and commitment to accuracy.
  • Effective communication and interpersonal skills, with the ability to collaborate across multiple pharmacy locations.
