Regional Operations Specialist (Part-Time, Temporary)

The Regional Operations Specialist position is responsible for providing regional administrative, financial, procurement and project/event support, and assisting with the coordination, oversight and reporting associated with region wide operations and programs. The position may also manage regional social media communications.
Principal Duties and Responsibilities (*Essential Duties)
- In coordination with Regional leadership and other operation and programs colleagues, manage the delivery of, and assist in the evaluation of, programs, services, activities, entertainment tours and events within the assigned region. Track and report on key regional operational and programs metrics.*
- Under the direction of the Regional leadership, develop, document and maintain standard operating procedures, and plans and reference materials for regional operations, programs and events. Prepare, review and present operational, program, financial and statistical reports, and after-action reports and briefings.*
- Assist in conducting periodic reviews of regional operation, program and service needs, and recommend new operations, programs and services based on results. Implement and oversee suggested and/or required changes.*
- Monitor and manage regional budget and prepare spending reports on regional projects or activities. Produce budget reports and communicate financial information to regional leadership. Process invoices and change order requests. Coordinate activities and troubleshoot any financial issues with the Finance Department.
- Manage volunteer tracking system data and volunteer and employee recognition programs. Provide advice and guidance on best practices, region policies, and procedures related to the day-to-day management of a volunteer workforce.*
- Coordinate with regional media outlets to inform them of, and ensure their coverage of, regional operations, programs and events. Monitor and assist with outbound social media content and messaging on the region’s website. Ensure regional adherence to USO-wide branding guidelines.*
- In cooperation with, and as requested by, Regional leadership, develop, improve and maintain working relationships with U.S. Military, local business, and community leadership to foster public awareness of USO programs and services.
- Support procurement of financial and other in-kind resources necessary for operational and program delivery across assigned region. Assist with monitoring and management of financial activities including by creating and executing budget priorities.
- Serve as project lead on assigned projects.
- May be required to operate a USO or personal motor vehicle.
- Other duties as assigned, including backfilling for other positions, as directed by senior leaders.
Job Specifications
- High school diploma or equivalent required.
- 2+ years work experience in an administrative and/or event management or marketing support role. Relevant experience managing outreach programs in a not-for-profit, military, multicultural and/or global organization preferred.
- Demonstrated ability to lead, or work in, high-performing teams. Ability to achieve desired results while working collaboratively in a team environment.
- Strong interpersonal, customer service and problem-solving skills. Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
- Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects. Ability to handle confidential information with tact and poise.
- Working knowledge of basic business and accounting functions including project management and budgeting. Capable in basic math and able to follow cash handling and reporting procedures..
- Demonstrated initiative/self-motivation and punctual, with the ability to quickly and easily adapt to changing organizational needs.
- Proficiency using computers and electronics equipment. Working knowledge of various software, applications, and programs including but not limited to Microsoft Office Suite.
- Ability to obtain and maintain proper credentials necessary to access USO Center locations and facilities including but not limited to security, credit and/or background screening, SOFA status, valid driver’s license.
- Ability to obtain and maintain a valid United States passport and valid foreign driver’s license* (in applicable locations/regions)

Details
- This position is a part-time (20 hours/week), temporary, remote position. The hours must be during normal business hours of 9am-5pm.
- This position is expected to last from approximately May 1 - December 31, 2025.
- USO locations will adhere to local area and DOD guidelines regarding COVID vaccination/testing requirements. Employees may be required to be vaccinated or tested regularly per local requirements.
